Full job description

Post is initially for 12-months Maternity cover.

General Scope of role:

The Member services officer will be accountable to the manager of the Credit Union for carrying out a range of administrative and operational activities that contribute to the effective running of the Credit Union. They will provide a first class and efficient service to members within the authorised limits granted by the manager and the Board of Directors and always treat our members and colleagues with respect and courtesy.

Main Duties:

· Dealing with member queries or concerns, lodgements, withdrawals etc.

· Act as a teller as required dealing with credit union members concerning lodgements, share withdrawal, loan applications and loan issues

· To process automated transactions to members accounts including standing orders, EFT, BACS transfers etc.

· Answering queries by telephone/email/social media and ensuring messages are passed to the correct person.

· Authorise and issue of loans within set limits and ensure all documents are fully completed and signed accordingly.

· Checking of dividends and posting to members accounts

· Opening and distribution of post

· Directing members to other credit Union personnel as required

· Co Operating with the Manager in the development and/or implementation of new services.

· To attend and contribute to meetings of such committees as may be directed by the Manager and Board of Directors

· To report to the manager on a regular basis, keeping them informed of all matters relevant to their role.

· To attend all training courses and workshops as required by the Credit Union and to complete at least 15hours CPD annually.

· To be aware of and comply with all health & Safety legislation.

· Be conversant with:

- All relevant aspects of the computer

- All aspects of LP/LS and DBI insurance and claims

- All aspects of AML procedures

- Data protection procedures

- Complaint’s handling

- Compliance & risk procedures

- Be conversant with all policies and procedures relevant to your role.

· Operating all office equipment as required following appropriate training. Ensuring that stationery stock is up to date and replenished. Placing orders for stationery, when required and ensuring suppliers used offer the best value for items needed.

· Balancing cash daily and Preparation of lodgement and depositing to bank.

· Open accounts for and educate new members. Dealing with minor accounts when they turn 16yrs old including arranging the accounts to be transferred to adult accounts or ensuring the money held is returned to the minor at 16 years old.

· Dealing with delinquent members and Bad debt accounts within policy guidelines and ensuring letters are sent and items actioned on these files in a timely manner.

· Where appointed acting as loans officers/membership officer/first aider/health & safety office/fire officer/credit control officer within agreed limits and any other appointment that the manager/board may feel is appropriate

· Preparation of reports to manager, Treasurer, committees, and Board

· To use marketing tools to the best advantage in promoting and monitoring members accounts in relation to their shares and loans, thus avoiding accounts becoming dormant and or losing out on their benefits such as death benefit and to the prevention of delinquency by monitoring loan repayments to prevent arrears and to encourage savings while repaying loans.

· Issuing promotional materials to members and non-members

· Responsible for all filing, imaging and safe keeping of all documentation related to your role.

· Responsible for the maintenance of records in an orderly and accessible manner including daily accounting cash records, bank reconciliations as and when required.

· Doing an annual review of file contents and relocation of relevant records to archive room. (Confidential disposal of records where retention is no longer required under retention policy.)

· To ensure the requirements of the compliance system are implemented and adhered to on an ongoing basis, and to ensure relevant issues are effectively reported

· To produce and provide appropriate management information on a regular basis or as required.

· To monitor changes to legal, regulatory and industry environments on an ongoing basis and assess impact on the business, and provide advice and appropriate documentation for the credit union to ensure compliance.

· Ensuring that backup of computer system is done and recorded daily and taken off the premises.

· To be responsible for the Credit Union complying with all statutory and other appropriate regulatory requirements.

· To support the Board in the discharge of its role as the elected representative body of the Credit Union.

· To undertake such other reasonable and lawful duties as may be directed from time to time by the manager and the Board.

Hours: Tuesday 9am – 5.30pm

Wednesday 9am – 5.30pm

Thursday 9am – 5.30pm

Friday 9am – 6.30pm

Saturday 9am – 1.30pm
