Please note: The majority of our events take place at weekends. Regular weekend working is an essential part of this role, with time off provided during the week where appropriate. Flexibility to work occasional evenings is also required to support event delivery.
About the Role
We are looking for an enthusiastic, organized, and commercially minded Creative Events & Operations Manager to oversee the planning, coordination, and delivery of a wide range of creative events. Based primarily at our Belfast creative studio, you'll also manage events at client offices, partner venues, and external locations across Northern Ireland.
This is a hands-on management role that combines event operations, team leadership, recruitment, customer experience, and business development. You'll ensure every event is delivered to an exceptional standard while identifying opportunities to grow our events offering, support the launch of exciting new brands across Belfast and Northern Ireland, and build long-term client relationships.
No two days are the same. You'll be equally comfortable leading a busy weekend event, organising staffing rotas, recruiting new team members, building relationships with clients, supporting new brand launches, managing administration, and helping shape the future growth of the business.
Key ResponsibilitiesEvent Management
- Plan, coordinate and deliver multiple creative events simultaneously.
- Manage events within our creative studio and at external client locations throughout Northern Ireland.
- Oversee event setup, operation and breakdown.
- Ensure events run smoothly, safely and within budget.
- Act as the main point of contact for clients before, during and after events.
- Deliver exceptional customer experiences that encourage repeat business.
- Maintain high presentation standards across all event spaces.
- Resolve operational issues quickly and professionally during events.
Team Leadership & Recruitment
- Recruit, interview and select new members of the events team.
- Prepare and issue employment contracts and onboarding documentation.
- Deliver inductions and training for new staff.
- Recruit, train, motivate and supervise event staff.
- Create and manage weekly staff rotas.
- Allocate duties and manage staffing levels across multiple events.
- Monitor staff performance and provide coaching and feedback.
- Lead by example and maintain high standards of professionalism.
- Foster a positive, collaborative and creative working environment.
- Ensure staffing levels meet business needs as the company grows.
Operations & Administration
- Manage event schedules and booking calendars.
- Coordinate equipment, materials, transport and suppliers.
- Maintain stock levels and order supplies where required.
- Prepare quotations for prospective clients.
- Issue customer invoices and assist with payment tracking.
- Maintain accurate event records and administrative systems.
- Ensure compliance with Health & Safety legislation and company procedures.
- Complete post-event reports and identify opportunities for improvement.
Business Development
- Identify opportunities to generate new business and increase bookings.
- Build relationships with local businesses, corporate clients, schools, charities and community organisations.
- Help launch and grow exciting new brands across Belfast and Northern Ireland through events, partnerships and promotional activity.
- Develop innovative event concepts and creative experiences.
- Work alongside the marketing team to promote events and services.
- Attend networking events and identify new partnership opportunities.
- Help maximise repeat business and customer referrals.
Financial Responsibilities
- Monitor event budgets and staffing costs.
- Issue invoices and maintain accurate financial administration.
- Support profitability by managing operational costs effectively.
- Assist with reporting on event performance, revenue and business growth.
Customer Service
- Deliver outstanding customer service from initial enquiry through to event completion.
- Respond promptly to customer enquiries.
- Resolve complaints professionally and positively.
- Build strong relationships that encourage long-term partnerships.
Skills & ExperienceEssential
- Previous experience managing events, hospitality, leisure or creative experiences.
- Experience recruiting, interviewing and managing staff.
- Experience preparing employment contracts or onboarding new employees.
- Strong organisational and time management skills.
- Experience managing staff rotas.
- Experience issuing invoices and handling business administration.
- Excellent communication and interpersonal skills.
- Ability to manage multiple projects simultaneously.
- Strong problem-solving skills and the ability to remain calm under pressure.
- Good IT skills, including Google Workspace, Google Sheets and online booking or scheduling systems.
- Commercial awareness with a proactive approach to business growth.
- Flexible approach to working hours, including regular weekends and occasional evenings.
- Full UK driving licence (or the ability to travel independently to event locations across Northern Ireland).
