Full job description

We are seeking an organised and proactive Administrative Assistant to provide comprehensive administrative support across a busy department. This varied role combines front-of-house duties, HR and finance administration, event coordination, facilities support and committee administration.

The position is set to commence ASAP and will be full-time for an initial duration of 12 weeks with a pay rate of £14.51 per hour + holiday pay

Key Duties:

• Act as the first point of contact, providing a professional and warm welcome to students, staff and visitors, and monitoring the enquiries inbox, answering queries and redirecting them appropriately.
• Provide general administrative support, carry out daily checks of public spaces, monitor and maintain stationery and refreshment supplies.
• Provide administrative support to the HR team as appropriate, such as maintaining sources of information on the website e.g., vacancy pages, profiles of staff; accurately maintain departmental staff mailing lists and accurately maintain all HR files in accordance with GDPR and Information Security policies.
• Ensure Key Travel and eExpenses user lists are kept up to date and starter/leavers promptly added or removed; provide training and guidance to staff on these systems, and book travel and accommodation for faculty on Key Travel when necessary.
• Make administrative arrangements for departmental events including room bookings, catering, travel and accommodation. Organise mailings events and assist in the preparation of any promotional materials. Provide on-the-day events support, directing delegates and helping with any queries, pre, during and post event.
• Assist the Operations & Continuous Improvement Manager with ensuring the offices are well presented and meet the needs of the department, assisting with general facilities related tasks and reporting remedial facilities jobs, monitoring outcomes and taking secondary actions if the jobs are not completed within the agreed timescales, reporting as appropriate to the Operations & Continuous Improvement Manager

Selection Criteria:

Relevant administrative experience or equivalent qualification
Experience managing administrative processes in a busy office environment
Excellent written and verbal communication skills
Ability to interpret and apply policies and procedures
Strong organisational skills with the ability to manage multiple priorities independently
Experience working effectively as part of a team
Good understanding of confidentiality and information security
Strong IT skills, including Microsoft Office applications
