Full job description

Salary: £27,500–£31,000 per annum, depending on experience

Hours: Monday to Friday, 9.30am – 5.00pm (No weekend working)

Whites Residential Lettings Ltd is a respected, family-run independent letting agency managing almost 600 residential properties across Northampton and the surrounding area.

Due to a member of our team relocating, we are looking for a Property Maintenance Coordinator to join our experienced and dedicated team.

Two members of our team have been with us for over 20 years – something we’re incredibly proud of and which reflects the supportive working environment we’ve built.

This is a varied and rewarding role where you’ll take ownership of maintenance issues from the initial report through to completion, liaising with tenants, landlords and contractors to ensure repairs are completed efficiently and to a high standard.

Using our modern property management software—which records every stage of the maintenance process and is soon to be enhanced with AI-powered features—you’ll play a key role in delivering excellent customer service.

This role would particularly suit someone who enjoys working independently, making decisions, organising their own workload and taking pride in seeing jobs completed successfully, while knowing they have the support of an experienced and friendly team whenever it’s needed.

The Role

Your responsibilities will include:

Receiving and assessing maintenance reports from tenants.
Instructing suitable contractors and monitoring repairs through to completion.
Obtaining quotations where required.
Liaising with landlords to obtain approval for works.
Keeping landlords and tenants regularly updated throughout the repair process.
Monitoring outstanding repairs and ensuring contractors meet agreed timescales.
Checking contractor invoices against completed works before authorising payment.
Maintaining accurate records using our property management software.
Occasionally visiting properties to inspect repairs, assess maintenance issues or meet contractors using a company vehicle.
Working closely with colleagues to deliver a consistently high level of customer service.

About You

We’re looking for someone who:

Is highly organised with excellent attention to detail.
Enjoys working in a busy environment where every day is different.
Is confident making decisions and working independently.
Has excellent communication and customer service skills.
Can prioritise and manage multiple tasks effectively.
Is confident using computer systems.
Holds a full UK driving licence.

Experience in residential lettings, property management or maintenance coordination would be an advantage, although we will also consider applicants with strong administrative, customer service, facilities management or contractor coordination experience.
