Job Description: Secretary / Office Manager
Job Type: Office based in Falmouth, Cornwall. Full time, permanent role.
Pay: From £30,000 pa plus benefits
The Role
If you have previous experience of working in a secretarial or administrative role, we would love to hear from you.
The role is to work within our secretarial and administrative team, sharing responsivities and working closely with other team members.
The role is currently available, and we are keen for the successful candidate to start as soon as practically possible.
Job Summary
· To provide secretarial and administrative support to the Director and the wider team.
· To provide receptionist duties, meeting and greeting clients and other visitors to the office.
· General assistance with the smooth running of the office.
Responsibilities and Duties
· Typing letters, emails and reports as required – with the assistance of Copilot from word, excel or voice files.
· Printing and collation of accounts and tax returns from IRIS and Excel.
· Scanning documents to include accounts and tax returns into Virtual Cabinet.
· Keeping files and internal record systems up to date.
· Preparing new client documentation and using First AML, ensure all required client identification documentation is in place to comply with our AML obligations.
· Managing Iris and updating the database as required, including new clients and disengaged clients.
· Production of firm’s sales invoices using Xero, debt collection and managing WIP.
· Answering the telephone and emails, taking messages and making appointments.
· Meeting and greeting clients and visitors to the office.
· Running reports and preparing mailings.
· Overseeing the running of office promises, including when required arranging property maintenance.
· Recording of post in and out, franking post and delivering to the post office.
· Monitoring and ordering stationery, paper and general office supplies.
· Providing support with IT including liaising with our IT specialists.
· Undertaking client company secretarial services.
· Supporting the director on HR matters including recruitment, new starter inductions and general administration.
· Arranging office socials.
· Supporting the team to ensure the smooth running of the business.
· Other relevant Ad Hoc tasks as required.

Desirable Requirements and Skills

- Previous relevant experience of working in an office.
- Strong written and verbal communication skills.
- Computer literacy in Excel, Word and Outlook. Training will be provided on specialist software.
- Self-motivated with a common-sense approach.
- Ability to work on own initiative and as part of a team.
- A good eye for detail.
- Always maintaining the highest standards of customer service.

Working hours
37.5 hours a week 9am to 5pm, Monday to Friday, with half an hour for lunch.
Salary and Benefits
From £30,000 per annum, depending on qualifications and experience.
22 days holiday per annum plus bank holidays increasing by 1 day pa to 25 days.
