Role Overview
We are looking for a friendly, organised, and proactive Administration Assistant to support the day-to-day running of our busy office.
This role is perfect for someone who enjoys administration, communicating with customers, and being part of a close-knit team. You will work closely with management, office staff, engineers, and clients to help ensure the smooth running of the business and provide excellent customer service.
The successful candidate will be office-based in Norwich (or willing to commute) and will play an important role in supporting the wider team with administrative and office duties.
In terms of hours, this role will require a minimum of 20 hours per week. However, during periods when other office staff are on annual leave (approximately 8 - 10 weeks per year), we would require you to increase your hours to up to 40 per week.
Key Responsibilities
- Answer incoming phone calls and emails professionally and efficiently
- Assist with booking appointments and scheduling works
- Support engineers and office staff with day-to-day administration
- Maintain accurate customer and job records
- Assist with preparing documents, reports, and general paperwork
- Help monitor emails, diaries, and office systems
- Support the team with filing, scanning, and data entry
- Provide excellent customer service to clients and suppliers
- Assist with general office organisation and administration
- Support management and the wider team with ad hoc tasks as required
Skills & Experience
- Previous experience in an administration, receptionist, or office support role preferred
- Strong organisational skills and attention to detail
- Friendly and confident communication skills
- Good IT skills, including Microsoft Office
- Ability to manage workload and prioritise tasks effectively
- Able to work independently while also working well as part of a team
- Professional, reliable, and positive attitude
Essential Requirements
- Ability to work office-based in Norwich
- Reliable and professional approach
- Comfortable using computers and office systems
Desirable
- Experience working in a service-based or engineering environment
- Experience speaking with customers over the phone
- Knowledge of East Anglia area
