OVERALL AIMS OF THE JOB
To provide comprehensive support across all aspects of governance, ensuring compliance with regulatory requirements; coordinating and managing internal audit recommendations; overseeing policy monitoring and updates; servicing the Board and Committees; and maintaining a range of corporate governance registers.

Job Activities
1. MEETING & BOARD ADMINISTRATION
Providing efficient and effective administration to support all governance activities, to include, but not limited to the following;
1.1. Prepare and collate papers for Board, committee and governance meetings, ensuring materials are accurate, complete and available in good time.
1.2. Take accurate, clear and timely minutes for Board and committee meetings, providing a reliable record of discussions and decisions that supports the governance audit trail.
1.3. Track and monitor actions arising from meetings, proactively following up with action owners to ensure timely completion.
1.4. Maintain and update the board portal, ensuring documents are uploaded accurately and relevant parties have access.
2. GOVERNANCE RECORDS & COMPLIANCE SUPPORT
2.1. Maintain accurate and up-to-date governance registers and records (action plans, statutory records, policy schedules) in line with data protection requirements.
2.2. Proofread and format governance documents to ensure accuracy, consistency and a professional standard of presentation.
2.3. Support organisational readiness for regulatory inspection, ensuring evidence is well-organised and accessible.
2.4. Assist with the accurate and timely provision of information in support of legal cases and subject access requests.
3. POLICY & DOCUMENT ADMINISTRATION
3.1. Maintain the policy review schedule, liaising with policy owners to ensure reviews are completed ahead of expiry and that updated policies are stored and communicated correctly.
3.2. Support the development and filing of new or amended policies and procedures, keeping documentation well-organised and readily accessible.
4. COMPLAINTS ADMINISTRATION
4.1. Administer the complaints management process: accurately record complaints, monitor progress against agreed timescales, and proactively follow up with staff to keep delivery on track.
4.2. Compile trend analysis and lessons-learned reports on complaints, customer feedback and survey results for the Executive Team and Board.
5. PERFORMANCE DATA & REPORTING
5.1. Run system reports and gather data from multiple sources to support KPI and performance reports.
5.2. Monitor performance against targets, escalating where complaints or governance KPIs are at risk of being missed.
5.3. Support the co-ordination of performance reports and annual target-setting for the Executive Team and Board.
6. EXECUTIVE & OFFICE SUPPORT
6.1. Plan and organise agendas and events for Executive and CEO group meetings.
6.2. Provide diary management and meeting co-ordination support for the Executive Team.
6.3. Handle general administrative tasks including correspondence, resource booking and co-ordination of training and conferences.
7. GENERAL
7.1. Promote Cornerstone’s Vision and Values in all that you do.
7.2. Work positively and collaboratively with Board members, customers, colleagues and other stakeholders to ensure strong working relationships and a good standard of service delivery to customers.
7.3. Ensure that you are fully acquainted with and follow the law, regulation, policies and procedures as they relate to your post and other key posts across Cornerstone.
7.4. Observe and promote Cornerstone’s Health & Safety policies and procedures at all times.
7.5. Ensure all data is handled in accordance with GDPR and in line with both the Information security and data management policies. Take ownership of the quality and accuracy of processing data and its appropriate storage, transfer and retention.

7.8. Keep all duties of the post-holder under review and make recommendations for any improvements in policies and procedures to your line manager.
7.9. Occasional after-hours work may be required within the scope of the role, including attendance at meetings.
7.10. Any other duties appropriate to your position as may be identified from time to time.
Person Specification
- Right to work within the United Kingdom.
- Satisfactory Basic DBS check
Experience and Skills
Essential
- Demonstrable experience in governance, regulatory or compliance administration, ideally in housing or a similarly regulated environment.
- Proven minute-taking ability, with a high standard of written English and strong attention to detail.
- Highly organised, able to manage multiple tasks and competing deadlines, and confident taking ownership of actions and holding others to account.
- Strong IT skills including Microsoft Office (particularly Excel); experience of board portal systems is an advantage.
- Able to gather, analyse and present data clearly in written reports, including complaints and performance trend analysis.
- Discreet and professional, with sound judgement in handling sensitive and confidential information.
- Collaborative team player who can also work independently and use initiative; committed to continuous improvement.
Desirable
- Understanding of GDPR and data protection responsibilities relevant to the role.
