Full job description

An exceptional opportunity has opened at The Future Factory for a skilled Freelance Event Manager to lead the end-to-end delivery of our European Executive Masterclasses. This role blends operational management with creative program development, making you the architect behind high-profile, content-driven corporate events featuring top industry leaders. The successful candidate will have a proven track record in event production, strong leadership, and public speaking, while also demonstrating innovative approaches to content design and program delivery.

Speaking in front of the room is a core part of the job on every day of every programme.

Key Responsibilities onsite during each programme

Set the room up before the first session each day, checking AV, materials, seating and refreshments against the running order.
Manage registration, welcome participants as they arrive and take them to their seating table.
Addressing the room. Welcome participants at the start of each day, make the housekeeping announcements, introduce keynote speakers and sessions when needed, call the timings for sessions and breaks, and bring the day back to schedule when discussion overruns. You need to be confident addressing the whole room and able to hold its attention while people are still settling, with introductions that are brief and accurate and a manner that suits a senior audience.
Look after faculty and guest speakers, briefing them ahead of their sessions and settling them into the room.
Manage transport to and from site visits, including headcounts, timings and the liaison with our hosts on arrival.
Handle catering, dietary requirements, room changes and anything a participant raises with you, resolving it without drawing them into the problem.
Act as the point of contact for the venue throughout, holding them to what was agreed.

Before each programme

Confirm every arrangement in writing with the venue, transport providers, site visit hosts and AV suppliers.
Prepare joining instructions and answer participant questions on travel, timings and requirements.
Build the running order and the onsite checklists that the delivery runs from.
Keep a single timeline for the programme that you own and keep current.

What we require

Five or more years managing multi-day events for senior corporate audiences, including programmes delivered outside the UK.
Clear experience that you personally led events, rather than supporting a manager who did. We will ask about this in detail.
Confident public speaking in front of executive audiences. This is central to the role and we will not compromise on it. You will be on your feet in front of the room many times a day, opening each morning, making the housekeeping announcements, introducing keynote speakers and closing the programme, in front of directors and C-suite executives from major international companies. We expect an assured speaking voice, presence enough that a room settles when you begin, and the composure to speak without notes when something changes at short notice. Applicants without recent experience of speaking in front of senior audiences will not be considered.
Excellent communication and written English. Joining instructions, participant correspondence and supplier confirmations go out in your words and carry our name, so they need to be clear, correct and pitched for a senior readership. You should be equally comfortable in conversation with a chief operating officer and with a coach driver.
A detailed focus. Programmes are judged on small things, such as a missing name badge or a session that starts late and pushes a site visit out of its slot. You need to see these coming and check everything yourself rather than assume it has been done.
Highly organised. You work from written timelines and checklists, confirm every arrangement in writing, and keep one live document showing the state of the whole programme at any moment. Nothing is carried in your head, and nothing waits until the week before.
Active problem solving and composure. Things go wrong during programmes, and you would be the person who puts them right while the day carries on around you. A session overruns, a transfer is late, a room is set incorrectly or a speaker changes what they need an hour before presenting, and we expect you to take the decision and make the calls, then tell us what you did. Participants should never see the problem.
Polish and presence. You are the first person participants meet each morning and the face of our organisation for the whole programme, so we expect a smart professional appearance and a manner that suits a senior corporate setting, including at site visits where our hosts' own standards apply.
Complete reliability. Once dates are agreed we build the programme around you, and a late cancellation cannot be covered.
Availability to travel and stay away for the full run of each programme, arriving the day before it begins.
A valid passport and unrestricted travel to Schengen countries.
Responsiveness by email in the weeks before a programme, with replies within one working day.
Working knowledge of event management software, CRM systems and AV setups.

What will make you stand out

A background in executive education, corporate training or professional development, with an understanding of what makes a programme valuable to experienced executives.
Experience of events held inside corporate or industrial premises, where host security and access rules apply.
Experience of preparing keynote speakers and academic faculty ahead of presentations.
Familiarity with the manufacturing or supply chain sectors.
