Full job description

1. Purpose of the Role

JN Civils is seeking an organised and proactive HR Administrator to support the HR Manager in the day-to-day delivery of HR operations across the business. The successful candidate will act as an administrative support across onboarding, payroll, recruitment, employee relations, compliance, and other areas of the Department.

This role requires excellent organisational skills, attention to detail, confidentiality, and the ability to work effectively in a fast-paced environment.

2. Key Responsibilities

Coordinate the onboarding process for all new starters, including:

Creating and maintaining personnel files
Preparing onboarding documentation
Assisting with JN Civils inductions
Arranging external client inductions and site requirements

Manage training-related contra charges and deductions for subcontractors, including issuing training receipts and certificates.

Prepare, issue, and amend HR documentation where required, including:

Employment contracts
Policies and procedures
Onboarding documentation
Employee correspondence

Manage the leaver and exit process, ensuring:

Company property is returned
Outstanding costs are recovered through final pay where applicable
Personnel records are updated accordingly

Support recruitment activities by:

Drafting job descriptions
Advertising vacancies on recruitment platforms
Shortlisting suitable candidates

Assist with the production of HR reports and data analysis for the HR Manager by providing data such as, but not limited to:

Employee and subcontractor turnover
Hours worked
Salary cost centres and payroll information

Process weekly, fortnightly, and monthly subcontractor payroll accurately and within deadlines for PAYE and the self-employed workers.

Provide administrative support to Managers and Site Agents, including:

Hotel bookings
DBS checks (where applicable)
HR documentation and employee relations paperwork

Carry out general day-to-day HR administrative duties.

Support document control processes by assisting with proofreading, policy creation, and updating company form indexes in collaboration with the HSE & Quality team.

Other HR duties and projects as required.

3. Person Specification

Essential Requirements

2 years’ experience within a Human Resources role.
Understanding of HR processes and best practices and the UK labour law.
Excellent organisational and time management skills, with the ability to prioritise workloads effectively.
Ability to handle confidential information with professionalism and discretion.
Strong IT skills, including Microsoft Office applications and HR systems (HRIS).
Excellent written and verbal communication skills.
Strong interpersonal and relationship-building abilities.
High attention to detail and accuracy.
Self-motivated, reliable, and capable of working independently with minimal supervision.

Desirable Requirements

Previous experience within the construction or civil engineering sector.
Experience processing subcontractor payroll through a third party.
Knowledge of onboarding and compliance requirements within site-based environments.
