We are a growing business seeking a highly organised and proactive Office Administrator to support the day-to-day operations, rental property portfolio, and associated business administration functions across our businesses.
This is a varied role suited to someone who enjoys working across administration, property management coordination, and accounting support in a fast-paced environment.
Key Responsibilities-Office & Administrative Support
- Manage daily office operations and maintain organised filing systems
- Handle incoming calls, emails, and correspondence professionally
- Coordinate meetings, appointments, contractors, and supplier communications
- Prepare documents, reports, invoices, quotes and spreadsheets
- Maintain accurate records for development projects and rental properties
- Assist directors with general business administration and ad hoc tasks
Property Portfolio Administration
- Coordinate tenant communications and manage tenancy documentation
- Liaise with letting agents, contractors, maintenance providers, and utility companies
- Track rental income, tenancy renewals, maintenance schedules, and compliance certificates
- Assist with property inspections and contractor scheduling
- Maintain property databases and ensure records are up to date and compliant
Accounting & Financial Support
- Process invoices, receipts, and supplier payments
- Reconcile bank accounts and monitor expenses
- Assist with rent collection tracking and financial reporting
- Carry out bookkeeping and preparation of information for accountants
- Maintain accounting software records accurately
- Assist with budgeting and cash flow tracking for development projects
Skills & Experience
- Previous experience in office administration, property administration, or bookkeeping
- Strong organisational and multitasking skills
- Excellent communication and interpersonal abilities
- Good working knowledge of Microsoft Office, particularly Excel
- Experience with accounting software such as Xero, QuickBooks, or Sage preferred
- Ability to work independently and manage priorities effectively
- High attention to detail and confidentiality
Desirable
- Experience within property development, real estate, construction, or property management
- Understanding of rental property compliance and tenancy processes
- Bookkeeping or accounting experience
