Training Coordinator
Reports to: Service Delivery Director
Salary: £30,000-35,000, depending on experience
Working hours: Full or part time (reduced hours or days to suit, minimum 3 days)
Location: Home-based
Purpose of the Role
The Training Coordinator is responsible for the efficient planning, scheduling, and delivery support of training services, ensuring a seamless experience for clients and trainers. This role plays a central operational function, coordinating logistics, maintaining trainer availability, and ensuring high standards of service delivery.
The role combines operational coordination with project management responsibilities, including overseeing training content updates and production. It requires a highly organised, detail-oriented individual who can manage multiple priorities while maintaining strong relationships with internal teams, trainers, and clients.
The approach should be proactive, process-driven, and focused on continuous improvement and client satisfaction.
The Training Coordinator will:
- coordinate and schedule training programmes to meet client requirements and business capacity
- manage trainer availability and optimise utilisation
- maintain accurate records across all training activities and systems
- gather and analyse client satisfaction data to inform improvements
- support invoicing processes and ensure accurate billing
- project manage training content updates and production cycles
- provide operational support to ensure high-quality delivery of services.
Key Objectives and Measures of Success
- Training delivery efficiency: Achieve high utilisation of training capacity with minimal scheduling conflicts or rework
- Client satisfaction: Maintain or exceed agreed client satisfaction scores
- Operational accuracy: Ensure high accuracy in scheduling, record-keeping, and invoicing data
- Timeliness: Deliver all scheduling, reporting, and invoicing support within agreed SLAs
- Content project delivery: Successfully manage content updates to agreed timelines
- Process improvement: Identify and implement improvements to coordination and scheduling processes
Key Responsibilities
1. Training coordination and scheduling
- Coordinate end-to-end scheduling of training sessions
- Set up and manage online training events on appropriate platforms
- Manage training calendars and resource allocation
- Resolve scheduling conflicts proactively
2. Trainer management
- Maintain trainer availability records
- Monitor utilisation and capacity
- Build strong trainer relationships
3. Client experience and feedback
- Collect and manage client feedback
- Monitor satisfaction scores
- Drive service improvements
4. Operational administration and systems
- Maintain accurate records in systems
- Produce reports
- Improve processes
5. Invoicing and commercial support
- Support invoicing preparation
- Ensure data accuracy for billing
- Resolve discrepancies
6. Content project management
- Coordinate content updates in consultation with delivery team
- Track project timelines
- Manage version control
