Full job description

Working hours will be between the core hours of 8:00am – 6:30pm Monday-Friday The College Practice is a dynamic and forward-thinking practice in Medway and Maidstone. We are the Lead Practice for the Primary Care Network. We are a supportive and caring employer, and our Senior Management Team have an open door policy which allows staff the freedom to share their views and opinions of how we operate, ask questions in relation to their own employment and terms and conditions, or to express concerns or obtain clarity on various topics.

We are creative with our approach to Primary Care and have an amazing group of staff who share our passion and commitment to do the best for our patients.

Responsibilities

Welcome patients and visitors in a professional and approachable manner
Handle a high volume of inbound and outbound telephone calls as part of the practice call hub, providing an efficient, patient-focused service at all times.
Use effective telephone triage and signposting skills to ensure patients are directed to the most appropriate clinician, service, or healthcare professional.
Manage patient appointments, including booking, amending and cancelling appointments efficiently
Support patients with urgent requests, ensuring they are directed to the appropriate care service
Handle calls, emails and general patient enquiries as part of the call hub
Accurately record requests such as home visits and assess urgency following protocols
Process incoming correspondence, including hospital letters and test results
Arrange interpreter services where required
Handle payments for private services and issue receipts
Support general reception duties, including post handling, deliveries and maintaining tidy work areas
Assist clinical staff with administrative tasks and act as a chaperone when required

Skills

Strong communication skills (both verbal and written)
Excellent telephone communication skills, including active listening, empathy, and the ability to gather accurate information from patients.
Excellent customer service and patient engagement skills
Ability to prioritise tasks and manage a busy workload effectively
Good problem-solving skills and ability to use initiative
High level of accuracy and attention to detail
IT literacy, including use of appointment systems and electronic patient records
Ability to remain calm and professional in fast-paced or challenging situations
Time management and organisational skills
Ability to handle confidential information sensitively and appropriately
