About the role
Balfour Beatty has an exciting opportunity for an Administration Assistant to join our UKCS Scotland business based in Peterhead.
This is a pivotal role supporting the day-to-day operations of a busy project environment, ensuring the smooth running of the office while providing high-quality administrative support to colleagues and project teams. You will play an important part in maintaining efficient office processes, coordinating resources, and helping to create a productive and professional working environment.
Working as part of a collaborative team, you'll have the opportunity to build strong relationships across the business while contributing to the successful delivery of projects that make a positive impact across Scotland. This role offers variety, responsibility, and the chance to develop your skills within a leading infrastructure group.
What you'll be doing
- Providing comprehensive administrative and secretarial support to project and management teams.
- Supporting the effective day-to-day management of office facilities and resources.
- Maintaining office management systems and processes to ensure efficient operations.
- Processing invoices and ensuring appropriate authorisation and timely administration.
- Ensuring office security procedures, Health & Safety requirements, and compliance standards are maintained.
- Managing office supplies and coordinating replenishment as required.
- Arranging travel and accommodation bookings for colleagues.
- Ordering and distributing PPE in line with company procedures.
- Coordinating meeting room and conference facility bookings.
- Monitoring office equipment and arranging repairs or maintenance when required.
- Liaising with suppliers, contractors, and service providers to support office operations.
- Supporting procurement activities and ensuring compliance with company processes.
- Maintaining statutory and communication notices within the office.
- Assisting with business continuity planning and emergency preparedness activities.
- Promoting Balfour Beatty values, supporting sustainability initiatives, and maintaining a strong focus on Zero Harm.
Who we're looking for
We are looking for an organised and proactive individual with excellent administrative skills and a professional approach to their work.
You will ideally have:
- Experience working within a busy office or administrative environment.
- Strong organisational skills with the ability to prioritise multiple tasks effectively.
- The confidence to work independently and use your own initiative.
- Excellent communication skills and the ability to build strong relationships with colleagues and stakeholders at all levels.
- A collaborative approach and strong team-working abilities.
- The ability to remain calm and effective when working under pressure and to tight deadlines.
- A customer-focused mindset with a commitment to delivering high standards of service.
- Strong IT skills, including proficiency in Microsoft Office applications such as Word, Excel, and PowerPoint.
- Excellent attention to detail and a commitment to maintaining accuracy in all aspects of your work.
