Job Title: Rental Administrator

Salary: £13-£15 per hour
Reports To: Branch Manager / Franchise Owner
About the Role
Practical Car & Van Rental Huddersfield is seeking a motivated, organised, and customer-focused Rental Administrator to join our growing team.
This is a varied and rewarding role that combines customer service, administration, sales support, and fleet coordination. The successful candidate will play a key role in ensuring the smooth day-to-day running of the branch whilst delivering exceptional service to our customers.
This position offers the opportunity to develop within a growing business and take on additional responsibilities as the branch continues to expand.
Key Responsibilities
Customer Service
- Respond to customer enquiries by telephone, email, and in person.
- Provide vehicle rental quotations and convert enquiries into bookings.
- Process vehicle reservations accurately and efficiently.
- Deliver exceptional customer service throughout the rental journey.
- Resolve customer queries and issues professionally.
Rental Administration
- Prepare and process rental agreements and associated documentation.
- Verify driving licences and customer eligibility requirements.
- Manage booking schedules and vehicle availability.
- Process payments, deposits, and customer records.
- Maintain accurate filing systems and branch records.
Fleet Support
- Assist with vehicle handovers and returns.
- Conduct basic vehicle inspections and damage reporting.
- Ensure vehicle documentation is maintained and compliant.
- Liaise with suppliers, repairers, and valeting providers when required.
- Monitor servicing, MOTs, and maintenance schedules.
Branch Operations
- Support the daily running of the office.
- Assist with local marketing initiatives and customer retention activities.
- Maintain high standards of presentation within the branch.
- Contribute to achieving branch revenue and utilisation targets.
- Undertake general administrative duties as required.
Skills & Experience
Essential
- Full UK Driving Licence with minimal endorsements.
- Excellent communication and customer service skills.
- Strong organisational and administrative abilities.
- Good IT skills including Microsoft Office applications.
- Ability to manage multiple tasks and priorities.
- Professional and positive attitude.
- Ability to work independently and as part of a team.
Desirable
- Previous experience within the vehicle rental industry.
- Experience in another rental sector (property, equipment, plant, tool hire, etc.).
- Sales or customer-facing experience.
- Knowledge of vehicle compliance and fleet administration.
