Administration and Finance Coordinator
Location: Midlands Child and Family Therapy Centre, Aslockton, Nottinghamshire
Hours: Full time, 8.30am – 4.30pm
Salary: Salary £25,760 – £28,500 FTE depending on experience
Location: Office based

We have an exciting opportunity for an Administration and Finance Coordinator to join our supportive, friendly and caring team at our lovely clinic in Aslockton.
This unique role combines hands-on administration, finance and office management responsibilities, helping to ensure the smooth and efficient running of our clinic and wider organisation. We are looking for someone who is organised, proactive and warm, with excellent attention to detail and a passion for helping things run smoothly behind the scenes.

The Role
You will provide administrative, operational and finance support across the organisation, helping maintain efficient systems and processes and supporting the wider team in delivering excellent services to children and families.
You will be involved in a range of activities including:
Administration and Operational Support
- Providing day-to-day administrative support across the organisation
- Managing diaries, meetings and appointments
- Supporting room bookings and clinic organisation
- Monitoring and responding to emails and communications
- Maintaining accurate records, databases and filing systems
- Assisting with policies, procedures and organisational documentation
- Supporting wider business projects and service development activities
- Coordinating actions and following up tasks to ensure work progresses smoothly
Finance Responsibilities
- Supporting financial administration processes including invoicing and payment monitoring
- Preparing and issuing quotations for therapy services, assessments, training and bespoke packages
- Raising invoices accurately and within agreed timescales
- Tracking payments and supporting debtor management processes
- Supporting payroll administration and expense processes
- Preparing financial summaries and reports
- Liaising with accountants and external providers where required
- Maintaining accurate and confidential financial records
- Preparing quotes
- Managing billing processes
- Tracking budgets or financial data
- Liaising with departments or suppliers
Office and Clinic Support
- Supporting the day-to-day running of our busy clinic environment
- Ensuring office systems and processes run efficiently
- Supporting stock management and ordering of supplies
- Liaising with contractors and external services when required
- Supporting a welcoming and organised environment for children, families and staff

Essential Skills and Experience
- Previous experience within administration, office coordination or finance support roles
- Strong IT skills including Microsoft Office (Word, Excel, Outlook and Teams)
- Excellent organisational and time management skills
- Strong written and verbal communication skills
- Experience managing multiple tasks and priorities
Desirable Skills and Experience
- Experience using systems such as Xero or practice management software
- Experience working within healthcare, education or therapy services
- Knowledge or understanding of SEND and neurodivergent children and young people
- Bookkeeping skills, knowledge and experience
