Full job description

This post is for 21 hours per week and is fixed term for 2 years.

Main purpose of job:

The main purpose of the post(s) is to provide day-to-day project management support to the Project Manager of the Land Management and Nature Group in the Ecological Science Department. This includes supporting monitoring of projects work plans, record-keeping, and regular communication with partners to ensure timely delivery of project outputs and to meet EC financial and reporting requirements. Also, the organisation of key events such as meetings and workshops and formatting outputs into formalised reports and/or minutes.

Main duties of postholder:

To assist in monitoring the project work plans and progress by maintaining and updating the project management web-portals (e.g., Sharepoint workspace).
To communicate with partners regarding upcoming Milestones and Deliverables.
To help ensure timely delivery of outputs for continuous- and periodic-reporting including collating and formatting relevant scientific-, ethical-, risk assessment- and financial -documents.
To upload approved outputs to the EC portal to satisfy EC reporting deadlines.
To provide continuous updates to the Coordinator and Project Management Committee to ensure business continuity within contracted timelines.
To help organise and attend as necessary key project events and meetings (e.g. General Assemblies i.e. of all partners, Executive Committee, Work Package Leader meetings, and other workshops).
To liaise with partners to plan and communicate the details, take meeting minutes and deliver final copies to partners, and/or for EC reporting.
To act as the main point of contact for project partners, stakeholders and Advisory Board members and respond to queries, directing these appropriately. This will include, ensuring project mailing lists are up-to-date; as well as other internal and external-media for project communications.
To exercise excellent interpersonal, organisational, and time management skills.

Attainments:

Education / qualifications

BA or BSc Hons, or equivalent and/or experience in administration of large research project management with underpinning skills in any science discipline (e.g., ecology/biology, etc.).

Research project management with underpinning skills in any science discipline (e.g., ecology/biology)

Experience:

Practical experience of organising and coordinating events and large meetings across organisations.

Skills:

Minute taking at large meetings of project partners and other management related meetings.

Additional language skills relevant to communicating with EU-based partners.

Evidence of preparation of high-quality reports and presentations.

Highly IT literate, experienced in a range of software such as Microsoft Office and delivering meetings using online meeting tools (e.g. Teams, Zoom, Webex).

Ability to communicate with a range of stakeholder types (academic and non- academic) and project staff across a range of grades, disciplines, and roles.

Evidence of excellent organisational and interpersonal skills.

Excellent team-working skills with evidence of working effectively to achieve team goals.

The post-holder(s) must be able to communicate and respond in a timely fashion to the tasks established by the project management teams.
No restriction to UK residency or EU-wide travel.
Participate in the travel requirements of the projects as required/requested.
