The Role
This is a role where organisation, communication, and time management really matter. Once a trip is booked, you become the person who makes sure nothing slips: every system and tracker is kept up to date, every guide has the information they need for their guests, and every client feels personally looked after from booking to departure.
A key early step is a welcome call with each guest shortly after they book — a chance to get to know them, understand what they're looking for, and make sure the right rooms, activities, and arrangements are in place for them specifically.
Key Responsibilities
- System & Tracker Management – Keep all booking systems and trackers accurate and up to date, so the whole team has a clear, real-time view of every guest and trip.
- Guide Handovers – Make sure each guide receives complete, accurate information for their guests ahead of every tour.
- Guest Onboarding Calls – Speak with each guest shortly after they book to get to know them, confirm their preferences, and ensure the right rooms and arrangements are booked for their needs.
- Client Liaison – Act as the main point of contact once a trip is booked, ensuring clients feel supported before, during, and after their journey.
- Itinerary Planning – Help craft detailed, engaging, and personalised itineraries that reflect each client's interests.
- Booking & Logistics – Secure accommodation and activities at the best available rates while ensuring a seamless guest experience.
- Guest Support – Look after guests while on tour, providing real-time assistance via WhatsApp and email.
- Arrivals & Departures – Coordinate smooth transfers, airport pickups, and special requests.
- Feedback & Reviews – Encourage guest reviews and capture their experiences for future marketing.
- Retention & Sales Support – Promote repeat travel, build long-term client relationships, and support new bookings and lead generation when required.
- Meet & Greet – Welcome guests in Edinburgh and accompany them from the airport or train station to their accommodation for a warm, personal start to their trip.
Who We're Looking For
- Exceptional organisation – able to juggle multiple bookings, systems, and deadlines without anything falling through the cracks.
- Strong communication – clear and confident with guests, guides, and colleagues alike, and quick to pass on the right information to the right people.
- Excellent time management – able to prioritise, stay on top of recurring tasks, and keep trackers and systems current every day.
- A proactive, problem-solving mindset — able to think on your feet and adapt to challenges.
- Experience in customer service or operations.
- Knowledge of Scottish destinations and luxury travel is a plus, but not essential.
Schedule
This is a standard Monday–Friday, 9–5 role. On occasions, guest needs will fall outside normal working hours — for example, many of our US guests arrive on weekends or in the morning between 6am and 8am — so a degree of flexibility to support guests at these times is important.
- Monday to Friday, 9am–5pm
- Occasional out-of-hours support to meet guest needs (e.g. early-morning arrivals)
- Occasional weekends when meeting guests
