We have an excellent opportunity for an Administrative Assistant to join our Clinical Negligence department.

The job holder will provide integral administrative support to the Head of Department and fee earners within the Clinical Negligence team.
As a Clinical Negligence Administrative Assistant, you will play a vital role in supporting the Head of Department and the wider team of fee earners, working on a varied and complex caseload of clinical negligence matters. This is an exciting opportunity to join a supportive and busy team delivering high-quality legal services in a specialist area of law.
Key Responsibilities:
- To assist and support senior fee earners within the department on all areas of clinical negligence work, this includes file opening, day to day management of the file, file closing and arching procedures
- To undertake file opening and on boarding processes including opening new files for clients, inputting new client details onto the Case Management system, sending out information to new clients and verifying information as appropriate. This also includes day to day management of the file, file closing and archiving procedures.
- To provide designated administrative support to fee earners and other members of the team as required
- To proactively manage administrative tasks to support the fee earners with file handling such as progression of identity and anti-money laundering checks, disbursement handling, diary management and co-ordination
- To process instructions in accordance with established procedures of good practice and take own initiative for tasks within your remit
- To complete forms, draft documents and prepare correspondence in accordance with instructions and set timescales ensuring attention to detail and accuracy in respect of correspondents
- To ensure that telephone calls and enquiries are dealt with efficiently and effectively, taking messages, answering queries and assisting where appropriate
- To respond to telephone calls and enquiries in accordance with instructions & own initiative
- To undertake data entry, send out documentation, undertake internal checks and process correspondence as required
- To proactively contribute to the overall development, implementation and smooth running of internal administrative procedures including making suggestions as appropriate
- To identify and undertake continual personal and professional development including contributing to the development of others as appropriate
- To follow and adhere to all Department Working Instructions (DWI’s) and company policies to ensure compliance at all times
- To undertake additional tasks which fall within the scope of the role as directed and reasonably required including providing support to other teams as appropriate
Requirements:
- Good working knowledge and experience of Microsoft Outlook and other Microsoft Office products.
- Excellent personal organisation including the ability to prioritise work
- Ability to work methodically and accurately with excellent attention to detail
- Strong team working skills and ability to work on own initiative
- Excellent communication and client care skills
- A professional and pro-active outlook.
