About the Role
Quality Construction is looking for an exceptionally organised, proactive and capable person to work directly alongside the company owner as a Personal Assistant & Business Implementation Coordinator.
This is not a traditional construction administration position.
We are currently making major improvements across every area of the business — introducing new systems, technology, processes, customer experiences, training, marketing, quality-control procedures and ways of working.
We already have a large number of improvements planned. The challenge is making sure they are organised, followed through and actually implemented.
That is where this role comes in.
You will work closely with the owner to take ideas, plans and improvements and help turn them into completed, working systems within the company.
One day you might be helping implement a new customer process. The next you could be setting up templates in our job-management software, researching a new system, organising information for the website, creating documents, following up a supplier, testing a new process or making sure something discussed the previous week has actually been completed.
Alongside implementation work, you will provide personal-assistant and administrative support to the owner, helping protect their time and allowing them to concentrate on growing and improving the business.
What You'll Be Doing
Your responsibilities will be varied and will develop as the company grows.
They will include:
- Working directly with the owner on business improvement projects
- Turning ideas and discussions into organised action plans
- Breaking larger projects into clear tasks and next steps
- Keeping track of improvements until they are completely implemented
- Following up outstanding actions with team members and suppliers
- Helping build and improve company systems and processes
- Setting up templates, forms, checklists and workflows
- Helping implement our Fergus job-management system
- Testing new processes and identifying anything that has been missed
- Organising company documents and information
- Researching software, suppliers, products and potential improvements
- Helping coordinate website and marketing improvements
- Communicating with designers, developers, suppliers and other external companies
- Preparing documents, spreadsheets and information when required
- Using AI and modern technology to help complete work efficiently
- Managing and prioritising the owner's task list
- Keeping projects organised and moving forward
- Taking notes during meetings and turning them into actions
- Reminding and following up on important commitments
- Helping organise appointments and the diary
- Handling general administrative tasks
- Helping remove repetitive work from the owner
- Spotting problems, inefficiencies or unfinished tasks before they become bigger issues
- Continually looking for ways the business can become more organised and efficient
The Most Important Part of the Role
We are looking for someone who gets things finished.
There are lots of people who can take notes in a meeting or create a to-do list.
We need somebody who can take:
"We need to improve this."
and help turn it into:
"This has now been built, tested, implemented and is being used."
You will need to be comfortable taking ownership of tasks, asking questions when necessary, finding information yourself and following things through without needing constant supervision.

You Don't Need to Know Everything
There will be a lot to learn.
We don't expect somebody to arrive knowing our construction processes, software or systems.
We can teach those.
What is much harder to teach is organisation, initiative, curiosity, reliability and the determination to get things completed.
Those qualities matter far more to us.
Technology & AI
Quality Construction is investing heavily in technology and automation.
You will be encouraged to use tools such as AI to help with research, documentation, organisation, analysis and implementation.
You don't need to be an AI expert when you join, but you should be comfortable learning new technology and genuinely interested in finding better ways of working.
Why We're Recruiting for This Position
The owner is moving away from spending their time managing every part of the day-to-day business and towards concentrating on building the company, improving its systems and creating future growth.
A huge number of improvements are already planned.
This role is being created to dramatically increase the speed at which those improvements can be implemented while making sure important tasks don't get lost amongst the day-to-day demands of running a construction company.
You will therefore have an unusual opportunity to work closely with the owner and see how a growing business is developed from the inside.

The long-term progression could develop towards roles such as:
Personal Assistant & Implementation Coordinator → Senior Implementation Coordinator → Business Operations Manager
