Our maintenance division supports high-volume national contracts, acting as the first point of contact for reactive call-outs and coordinating rapid responses to site issues across fire doors, automation systems, roller shutters, barriers, and related building access systems.
The role
We are looking for a proactive Maintenance Administrator to join our busy maintenance team. You will play a key role in ensuring reactive works are logged, scheduled, and completed efficiently, while maintaining strong communication with engineers, subcontractors, and clients.
This is a fast-paced coordination role where organisation, communication, and attention to detail are essential.
Key responsibilities
- Allocating engineers to reactive maintenance jobs across multiple client contracts
- Creating and updating job sheets
- Collating, reviewing, and chasing engineer job reports
- Acting as the first point of contact for incoming reactive maintenance requests
- Handling telephone and email enquiries professionally and efficiently
- Maintaining accurate and up-to-date job records and system information
- Liaising with subcontractors and chasing outstanding works or documentation
- Supporting and maintaining strong relationships with existing and new clients
- Ensuring all reactive call-outs are processed and progressed in a timely manner
About you
- Strong administrative and organisational skills
- Confident communicator (phone and email)
- Able to work under pressure in a busy, reactive environment
- Comfortable managing multiple live jobs at once
- Experience with job management systems (Fieldwire or similar desirable)
- Proactive approach to chasing information and resolving issues
- Team player with a professional and customer-focused attitude
