Job Summary
We are seeking a professional and organised GP Administrator/Lead Receptionist to oversee the administrative functions of our medical practice. The successful candidate will be responsible for managing front desk operations, providing excellent patient service, and supporting the smooth running of daily clinic activities. This role requires a proactive individual with strong organisational skills and experience in office administration. Responsibilities
- Greet patients warmly and professionally upon arrival, ensuring a positive first impression.
- Manage appointment scheduling, cancellations, and rescheduling with accuracy and efficiency.
- Answer incoming calls promptly, providing information or directing enquiries to appropriate staff members.
- Maintain accurate patient records and update information in the practice management system.
- Handle administrative tasks such as filing, data entry, and correspondence.
- Support clinical staff with administrative duties as required, including preparing documentation and managing supplies.
- Ensure compliance with confidentiality and data protection policies at all times.
- Supervise other reception staff, providing guidance and support to ensure high standards of service delivery.
- Liaise with patients regarding test results, referrals, and follow-up appointments as necessary.
Skills
- Proven office experience with excellent organisational skills.
- Previous administrative experience within a healthcare or medical setting is highly desirable.
- Strong communication skills, both written and verbal, with a friendly and professional manner.
- Ability to multitask efficiently in a fast-paced environment while maintaining attention to detail.
- Proficiency in using practice management software and MS Office applications.
- Leadership qualities to effectively lead the reception team and coordinate daily operations.
- Ability to handle sensitive information discreetly and uphold confidentiality standards.
