Based in the London and Aylesbury offices, this role will support the Property and Facilities Manager by carrying out general maintenance, porterage and facilities duties, assisting with the movement and set-up of furniture and equipment, undertaking minor repairs and supporting the day-to-day operational needs of both sites. The postholder will work collaboratively with departments across the organisation, including the Library and Gallery and Club teams, providing practical support for exhibitions, functions, office moves and other operational activities to ensure the buildings remain safe, compliant and fully operational.
Providing practical property and facilities support across the Royal Kennel Club's Aylesbury and London sites by undertaking general maintenance, porterage and odd-job duties, ensuring the buildings are safe, well presented and fully operational. The role supports the efficient day-to-day running of the organisation by responding to maintenance requests, assisting with office moves, exhibitions, functions and event set-up, carrying out routine inspections and liaising with contractors where required. The postholder will work collaboratively with colleagues across the organisation to maintain a positive environment for employees, visitors and tenants.
What you'll be doing:
Building Maintenance and Facilities Support
- Carry out general maintenance, repairs and odd jobs across the Aylesbury and London sites, ensuring buildings remain safe, functional and well presented.
- Undertake minor repairs including decorating touch-ups, replacing fixtures and fittings, assembling furniture and carrying out basic plumbing, carpentry and maintenance tasks within competence.
- Carry out routine inspections of both sites, identifying defects, hazards and maintenance requirements, reporting issues to the Property and Facilities Manager where appropriate.
- Support the coordination of planned and reactive maintenance works, liaising with contractors and monitoring work undertaken.
- Assist in maintaining internal and external areas to a high standard of cleanliness, presentation and safety.
Porterage and Operational Support
- Provide porterage services across both sites, including moving furniture, equipment, archives, deliveries and office supplies.
- Set up and clear meeting rooms, training rooms, exhibitions, functions and event spaces, ensuring all furniture, equipment and facilities are prepared to the required standard.
- Support internal office moves, workstation changes and departmental relocations.
- Receive, distribute and store deliveries, ensuring stores and warehouse areas remain organised and safe.
- Assist with waste management, recycling and general housekeeping duties across both sites.
- Work collaboratively with the Library and Gallery team to support exhibitions and displays, including the safe movement, installation and hanging of artwork, pictures, display materials and exhibition equipment.
- Support the Club team with the preparation, set-up and breakdown of functions, hospitality events and other business activities, including moving furniture, equipment and supplies to ensure successful event delivery.
- Provide practical porterage and maintenance support to departments across the organisation for office moves, departmental projects and other operational requirements as required.
Health, Safety and Compliance
- Support compliance with health and safety legislation by undertaking routine workplace inspections and reporting hazards promptly.
- Assist with statutory compliance activities including fire safety checks, first aid equipment inspections, water hygiene monitoring and other planned compliance activities.
- Maintain accurate maintenance records and report completed works to the Property and Facilities Manager.
- Ensure all work is carried out safely and in accordance with organisational policies and safe working practices.
Security and Site Support
- Assist with opening and securing buildings where required.
- Support the management of site security, including access control, keys and contractor access.
- Provide support during emergency situations, building evacuations and business continuity activities as required.
Facilities Bookings – Stoneleigh (online)
- To act as the primary contact for all matters relating to the booking of events at the Stoneleigh Building, in liaison with Caretaker including advising on availability and suitability of the RKC Building for intended hire purpose, using the Avalan booking system.
- Take clear messages and verify queries such as feedback and complaints as required.
- Build and maintain good relationships with internal and external customers.
- To undertake the administration of bookings from start to finish, including issuing of contracts, invoices, booking forms, H+S Information and general client liaison and feedback for Stoneleigh.
- To notify the Property and Facilities Manager of any significant issues relating to Stoneleigh and any problems with neighbouring premises. To liaise with building maintenance contractors.
- Manage the RKC Educational Trust email in box.
General Responsibilities
- Travel regularly between the Aylesbury and London sites to provide facilities support as required.
- Support the Property and Facilities team with projects, office improvements and operational initiatives.
- Build positive working relationships with employees, contractors, tenants and visitors, providing excellent customer service.
- Provide support for Royal Kennel Club events, exhibitions and business activities across both sites, including occasional evening, weekend and on-call working where required to maintain business continuity and operational requirements.
- Raising Purchase Orders and inputting on to the system for approval.
- Undertake any other reasonable duties commensurate with the level of the role.
What you'll bring:
Essential
- Experience in a property maintenance, facilities, porter, caretaker, building services or similar practical role.
- Experience of carrying out general building maintenance and minor repairs.
- Good practical DIY skills, including the safe use of hand and basic power tools.
- Good understanding of workplace health and safety practices.
- Ability to move and handle furniture, equipment and deliveries safely in accordance with manual handling guidance.
- Good organisational skills with the ability to prioritise a varied workload and respond to changing business needs.
- Strong customer service and communication skills with the ability to work effectively with colleagues, visitors and contractors.
- Ability to work independently as well as collaboratively within a team.
- Willingness and ability to travel regularly between the Aylesbury and London sites.
Desirable
- Previous experience within a multi-site facilities or property environment.
- First Aid at Work and/or Fire Marshal qualification (or willingness to undertake training).
- Basic knowledge of statutory building compliance, including fire safety, water hygiene and workplace inspections.
- Experience supporting office moves, exhibitions, hospitality or corporate events.
- Experience working with contractors and external suppliers.
- Basic IT skills, including Microsoft Outlook and Microsoft Office for completing records and communicating with colleagues.
