Job title: Property Services Administrator
Based at: Jockey Club Estates, Newmarket.
Contract type: Permanent.
Hours: 40 hours per week
About the role
We have a fantastic opportunity for a Property Services Administrator to provide a full range of support services in relation to the maintenance of properties for Jockey Club Estates and to coordinate property maintenance services provided to other horse racing industry customers.

The Property Services Administrator will

Be first point of contact for all property maintenance enquiries, assisting with the effective administration of all areas of general property maintenance as part of the planned preventative and reactive maintenance program as directed by the Property Manager.

Proactively and efficiently respond to maintenance requests ensuring they are logged within the property management database when they are reported, ensuring time frames and progress are regularly reported.

Maintain accurate records within the property management database including documentation for compliance checks, quotations and collating all information required for accurate and timely raising of invoices.

Be proactive with clients and contractors, keeping customers informed; maintaining positive relations and demonstrating good customer care.

Establish, develop and maintain effective working relationships with all work colleagues, contractors, customers and partnering agencies.

Apply knowledge and skills to ensure performance targets are met such as ensuring repairs are completed to agreed timescales, quality and budget.

Ensure all Jockey Club Estates recharges to all stakeholders are accurate and sent out in a timely manner.

Provide effective administration support to the Property Manager for housing management services such as lettings, income collection, utilities and tenancy management.

Always maintain confidentiality in relation to business sensitive and personal information

Use the purchase ordering software to raise, monitor and close purchase orders. Ensure invoices are processed promptly and accurately.

Continuously seek opportunities to improve efficiency and effectiveness in your role, to help the department and Jockey Club Estates achieve its goals.

Focused and organised with a sharp eye for detail.

Technically savvy with excellent written and oral communication skills.

Knowledge of finance and related business systems.

Positive, can-do attitude to the workplace with a hands-on approach

Experienced in the residential property centre
