Summary
The Finance and Administration Assistant is responsible for the accurate and timely processing of data while supporting the Finance Department and wider business with administrative tasks. This role requires strong attention to detail, confidentiality, and the ability to manage multiple priorities.
Responsibilities
- Creation of customer delivery notes from data source for checking
- Scanning of delivery notes, logging dispatch date and sending to customer
- Matching of delivery notes to customer self-bill invoice and recording on tracker
- Entering of customer purchase orders on trackers and saving copies on to server
- Daily data entry of purchase invoices on to accounting software
- Matching purchase orders and delivery notes to purchase invoices
- Finance and Admin filing
- Answering Phone Calls and Logging data/enquiries for Group Controller
- Greeting visitors in Reception, ensuring they completed the check in procedure, and contacting the relevant person they are visiting
- Attending to visitor/meeting requirements in the Board Room
- Management of Finance Office stationery requirements, organising requisitions for sign off by Group Controller
- Organisation and restocking of kitchenette supplies
- Flexible in providing cover for other finance team members when absent/unavailable.
Skills and Experience Required
- Excel (using formulas, grouping and sorting data), MS Office and accounting software knowledge, preferably QuickBooks.
- Ability to work to deadlines, with good organisational skills and ability to prioritise.
- Excellent interpersonal skills in liaising with customers, suppliers, and colleagues.
- Highly motivated, ability to thrive within a fast-paced environment.
- Understanding of working within a department where there are high levels of confidential information.
- Possess a flexible approach and adaptable to changing requirements at short notice.
- Have good literacy, numeracy, and IT skills.
- Have the ability to remain calm under pressure.
- Maintain a professional, accountable, proactive, and helpful attitude at all times.
- Maintain the ability and maturity to give and receive feedback constructively and negotiate with colleagues harmoniously.
