Independence Mobility focuses on equipment sales and clinical support, helping individuals and professionals find the right long-term solutions through sales and hire. Medical Hire hires out medical props for TV and film, often at short notice.
We work with private clients, healthcare professionals, local authorities, charities and production companies. Our work is hands-on, fast-moving, and makes a genuine difference to the people we support.
The Role
We're looking for an organised and proactive Repairs & Logistics Administrator to support our Repairs & Service department and our warehouse logistics operation.
This is a varied role split across two connected areas of the business. On the repairs and service side, you'll be the first point of contact for customers having problems with equipment they own, working closely with our engineers to diagnose issues, book appointments, and keep repairs moving quickly and smoothly. On the logistics side, you'll help coordinate deliveries, collections and returns across the business, working closely with our Repairs & Logistics Manager to make sure the right people and parts are in the right place at the right time.
Full training will be provided — attitude, organisation, and a willingness to learn are the key requirements for this job. Previous experience in an admin, customer service or logistics-coordination role is preferred.
Typical responsibilities would include:
Repairs & Service
- Answering calls from customers reporting problems or repairs and booking in appointments.
- Quoting for and ordering parts
- Organising timely returns of warranty items
- Reviewing the engineers' diary regularly to identify opportunities to schedule more efficiently
- Assisting with stock management - covering sales stock, hire stock, and demo stock
- General admin connected to the repairs and service function
Logistics
- Booking in deliveries and adding all detail on the CRM system
- Supporting the Repairs & Logistics Manager by keeping track of what's due in and out of the warehouse, and ensuring the right people are available for this work
- Making sure enough time is scheduled in the diary to pick/check/clean orders going out on rental or coming back in
- Managing damaged or missing goods, quoting for replacements, and ordering replacements where applicable
Essential attributes of the ideal candidate will include:
- Highly organised, with a methodical approach to juggling multiple moving parts
- Comfortable and confident on the phone with customers and engineers
- Calm under pressure and able to prioritise in a fast-paced environment
- Strong attention to detail, particularly around stock, barcoding, and tracking information
- Confident using computers and learning new systems
- A good communicator who can liaise effectively between customers, engineers and internal teams
- Naturally empathetic, especially when supporting vulnerable people
- Comfortable proactively chasing information (e.g. collection/return times) rather than waiting to be told
The role is a full-time, permanent one, working 5 days per week.
Please note: The starting salary may be subject to negotiation for the right applicant, based on past experience.
