Role Overview
We are seeking a highly organised and customer-focused Help Desk Administrator to join our growing team. The successful candidate will be the first point of contact for customers, contractors, and clients, ensuring maintenance requests are logged, tracked, and completed efficiently. This role is essential in maintaining excellent service standards and supporting the smooth operation of our maintenance services.
Key Responsibilities
• Receive and log maintenance requests via telephone, email, and customer portals.
• Allocate jobs to appropriate engineers, contractors, and maintenance personnel.
• Monitor job progress and ensure work orders are completed within agreed service levels.
• Maintain accurate records of all jobs, updates, and customer communications.
• Liaise with clients, tenants, contractors, and suppliers to provide updates and resolve queries.
• Schedule appointments and coordinate engineer attendance.
• Produce reports on outstanding jobs, response times, and completion rates.
• Process invoices, purchase orders, and administrative documentation as required.
• Escalate urgent or unresolved issues to management.
• Ensure compliance with company procedures and health & safety requirements.
• Support the wider administration team with general office duties.
Skills and Experience
Essential
• Previous experience in an administrative, customer service, help desk, or facilities management role.
• Excellent telephone manner and communication skills.
• Strong organisational and time management abilities.
• Ability to prioritise tasks and work under pressure.
• Good working knowledge of Microsoft Office applications.
• High level of attention to detail and accuracy.
• Professional and customer-focused approach.
Desirable
• Experience within property maintenance, facilities management, housing, or construction sectors.
• Knowledge of CAFM, job management, or maintenance scheduling systems.
• Experience processing invoices and purchase orders.
• Understanding of service level agreements (SLAs).
