Job Overview
The Residential Sales Assistant will provide comprehensive administrative and sales support to the Negotiators at our Romsey branch, ensuring the efficient operation of the sales team and contributing to the successful completion of residential property transactions. In addition to office-based support, the role has a strong client-facing element, including conducting property viewings, assisting with chain progression, and creating engaging content to promote the branch and its properties.
Job Description
The anticipated workload will be varied and will include, but is not limited to, the following (where necessary, on-the-job training will be provided):
1. Sales Support & Property Viewings
- Conduct property viewings with prospective buyers, representing the branch professionally and confidently.
- Schedule and coordinate property viewings, meetings, and appointments for other members of staff within the office as requested/required.
- Provide accurate and helpful feedback to vendors and Negotiators following viewings.
- Take photographs of properties on occasion, for use in listings and marketing material.
2. Chain Progression
- Assist with chain progression, liaising with buyers, sellers, solicitors and other agents to help move transactions towards exchange and completion.
- Proactively chase updates on sales progress and flag potential delays or issues to the relevant Negotiator.
- Keep clients regularly informed and reassured throughout the sales process.
3. Administrative Support
- Provide administrative support to the Negotiators, including handling phone calls, emails, and correspondence.
- Prepare and manage documentation for property listings, sales agreements, and other necessary paperwork.
- Maintain and update client records and property databases.
4. Customer Service
- Act as the first point of contact for clients, providing a friendly and professional service.
- Respond to client enquiries in a timely and effective manner, either via phone, email, or in person.
- Assist clients with completing necessary paperwork and guide them through the sales process.
- Ensure all client interactions are logged and follow-ups are conducted as needed.
5. Marketing & Social Media
- Assist in the preparation and distribution of marketing materials, such as brochures, flyers, and online listings.
- Update property listings on the company website and various online portals, such as Rightmove.
- Create and manage engaging social media content — including photos, videos, and posts — to promote property listings and company services.
- Monitor and manage social media accounts, tracking engagement and helping grow the branch's online presence.
- Coordinate the production and distribution of promotional materials for open houses and other events.
- Support local office shows and events, such as point-to-points and agricultural shows, with setting up and attendance when requested.
6. Data Management
- Maintain accurate and up-to-date records of all property transactions, sales activities, and client interactions.
- Ensure all data is handled in compliance with company policies and data protection regulations.
7. Office Support
- Manage office supplies and equipment, ensuring the office is well-stocked and operational.
- Support the sales team in organising and executing events, such as open houses, client meetings and shows.
8. Compliance and Regulations
- Ensure all property listings and transactions comply with legal and regulatory requirements.
- Assist in the preparation and submission of necessary documentation to relevant other professionals.
Key Attributes/Skills
Whilst on-the-job training will be provided, the following key attributes/skills are considered important:
- Previous experience in an administrative or sales support role, preferably in estate agency.
- Confident and comfortable conducting property viewings and meeting clients face-to-face.
- A full, valid UK driving licence, for attending property viewings and appointments.
- Excellent organisational and multitasking skills.
- Strong written and verbal communication skills.
- An eye for photography and an interest in creating social media content.
- Proficiency in Microsoft Office, such as Outlook, Word and Excel.
- Ability to work independently and as part of a team.
- Excellent attention to detail and accuracy in all tasks.
