Operations & Growth Coordinator — Biophilic Design / Interior Planting
Location: Central London, with a mix of client site visits, remote admin and occasional shared workspace meetings
Hours: Part-time to start, ideally 3 days per week, with scope to increase to full-time as the role develops
Salary: £32,000 to £38,000 FTE, pro rata, depending on experience
Bonus: Performance related bonus/commission available as the role develops
Working pattern: Usually between 9:00am and 4:00pm, with occasional earlier starts for installations or specific site requirements
Driving licence: Required
About us
Biophilic Designs is a specialist interior planting and biophilic design business working across commercial offices, hospitality, private clients and high profile workplace environments.
We design, install and maintain planting schemes across central London, including interior planting, exterior terraces, preserved moss, living walls, bespoke planters and project led biophilic installations.
The business is small, established and hands on, with a strong client base and a reputation for thoughtful, high quality work. We are now looking for an ambitious and practical Operations & Growth Coordinator to work closely with the founder across the day to day running and future development of the business.
The role
This is a varied, hands on role for someone who wants to learn how a specialist design led service business works from the ground up.
You will be involved across operations, maintenance coordination, installations, client communication, supplier logistics, project support and business development. Early on, the role will include time on site with the maintenance team and assisting with installations, so you can understand the work properly and get a real feel for our clients, standards and processes.
Over time, the aim is for the right person to take on increasing responsibility across the business, with scope to grow into a senior role as the company develops.
This is not a narrow admin role and it is not a standard plant maintenance role. It would suit someone practical, organised and commercially curious who wants responsibility, variety and the chance to become a key part of a growing specialist business.
Key responsibilities
The role will include:
- Coordinating maintenance visits, site requirements and technician schedules
- Supporting client communication, including updates, queries and follow ups
- Helping organise replacement plants, supplier orders, materials and logistics
- Attending client sites across Central London
- Carrying out occasional supplier and plant market runs
- Assisting the maintenance team when required, particularly while learning the business
- Supporting larger installations, including practical site work, preparation, planting and logistics
- Helping prepare quotes, proposals and project information
- Following up enquiries and supporting new business opportunities
- Building prospect lists and assisting with outreach to designers, architects, fit out companies and commercial clients
- Helping identify opportunities within existing client relationships
- Supporting the founder with project coordination, admin and business systems
- Using Google Workspace, spreadsheets, Xero and other digital tools as required
- Helping improve internal processes as the business grows
About you
We are looking for someone practical, bright and commercially curious, with the confidence to take responsibility and the humility to learn the business properly.
You do not need to come from an exact interior planting background, although experience in horticulture, landscaping, interiors, facilities, project coordination, operations or client facing service businesses would all be useful.
You should be:
- Highly organised and reliable
- Calm under pressure
- Proactive and willing to take ownership
- Comfortable dealing with clients
- Practical and hands on when required
- A clear communicator with excellent written and spoken English
- Commercially curious and interested in how a small business grows
- Comfortable travelling around Central London
- Confident using digital tools and basic business systems
- Keen interest in sub-tropical indoor plants as well as exterior planting schemes, interiors, design, workplaces or the built environment
- Keen to grow into a broader role over time
Horticultural knowledge, particularly around indoor or subtropical planting schemes, would be very useful, but it is not essential if you are bright, practical and willing to learn.
Requirements
- Full UK driving licence
- Strong communication skills
- Good general computer literacy
- Willingness to work both on site and remotely
- Ability to assist with physical work during installations and busy periods
- Interest in working closely with the founder and maintenance team of a small, growing, specialist business
- Desire to take on increasing responsibility over time
- Right to work in the UK
