Job Summary

We are seeking a highly organised and client-focused Events Co Ordinator who will be responsible for a wide range any varied tasks to join our events and operations team. The successful candidate will play a key role in managing festival logistics, handling client bookings, coordinating event schedules, and ensuring smooth operational delivery. This role involves working extensively with Excel, internal booking / payment systems, and managing data, communicate with clients, and keep financial records accurate and up to date.

This is a paid position suited for individuals with a background in office management logistics, event coordination, or operations who also bring strong skills.

Salary will be set according to experience, this will be assessed an interview.

The business is growing fast and is now looking for key staff to grow rapidly with us over the next year.

Duties

Key point of contact for our customers and suppliers.
Manage and track client bookings through internal tools .
Be able to handle client enquiries and follow-ups
Create and send invoices to clients, track payments using Excel, and ensure timely follow-up on outstanding balances
Maintain accurate records across multiple systems and reconcile payments across Excel sheets.
Monitor festival registration data via WordPress, and ensure real-time updates are reflected in reports and operational tools
Coordinate logistics schedules and team requirements for each festival, ensuring smooth delivery of services
Communicate professionally with clients regarding bookings, payments, logistics, and support queries
Collaborate with internal teams and third-party vendors to align logistics with festival requirements
Co ordinate the office, with a good level of organisation and management, able to handle a wide spectrum of issues in a busy environment.

Qualifications

Experience in logistics, operations, or event coordination roles
Proficiency in Microsoft Excel, including advanced formulas, pivot tables, dashboards.
Experience using WordPress tools such as Fluent Forms, Fluent Support, WPForms, or WooCommerce would be beneficial.
Familiarity with invoicing, payment reconciliation, and client communication workflows
Excellent organisational and multitasking abilities.
Strong written and verbal communication skills.
Attention to detail and ability to manage time-sensitive tasks.
Experience working with data entry, reporting, or CRM systems within a WordPress environment is a plus.

Job Types: Full-time, Permanent

Pay: £25,000.00-£30,000.00 per year
