Main Job Purpose:
Provide administrative support across HR and Facilities, ensuring the smooth delivery of employee lifecycle processes and effective day-to-day workplace administration. The role is within GBMS which is the service provider for George Barnsdale and GBSG.
The role is based in Donington - PE11 4TA and is part time 20 hours over 5 days. Salary advertised is the FTE so will be pro rate your working hours. Holidays are 23 days holiday per year pro rate plus bank holidays.
Working closely with the HR & Facilities Lead, you'll coordinate recruitment and onboarding, maintain HR records, support payroll and compliance activities, administer learning and development processes, and assist with facilities management.
Essential Requirements: (Must haves – you will not interview anyone for the role without these)
- Experience in an HR administration or coordination role.
- Strong organisational and administrative skills.
- Proficient in Microsoft Office (Word, Excel and Outlook).
- Excellent communication and attention to detail.
- Ability to prioritise work, meet deadlines and maintain confidentiality.
- Professional, approachable and customer-focused
Desirable Requirements: (You would like but could be trained in time)
- CIPD Level 3 (or working towards).
- Experience with HR systems (e.g. OPERA, HR Hub).
- Payroll administration experience.
- Facilities administration experience.
- Knowledge of UK employment legislation.
HR Administration
- Support recruitment, interviews and onboarding.
- Prepare contracts, offer letters and employment documentation.
- Conduct Right to Work checks and maintain employee records.
- Administer starters, leavers, contractual changes, holiday and absence records.
- Support monthly payroll administration.
Learning & Compliance
- Coordinate appraisals, training and mandatory renewals.
- Maintain training records and the Training Matrix.
- Support compliance activities, including health surveillance, driving licence checks and employment documentation.
Facilities Administration
- Coordinate planned maintenance, contractors and service requests.
- Maintain facilities records, supplier information and expenditure logs.
- Support office moves and general workplace administration.
General
- Prepare reports, correspondence and business documentation.
- Respond to employee and manager enquiries.
- Maintain confidential records and identify process improvements.
- Undertake other duties appropriate to the role.
