The Role:
Detego Global is on the lookout for a Project Administrator to join our Engineering and Product Management function.
We are looking for a highly organised and proactive individual who thrives in a fast-paced environment and takes pride in keeping things running smoothly behind the scenes. You will work directly alongside our Project Managers, Engineering Leads and Department Heads, providing the administrative backbone that enables our teams to focus on delivery and client outcomes.
This role sits at the heart of the department, touching everything from project tooling and scheduling to compliance documentation and recruitment coordination. It is an ideal position for someone who enjoys variety, takes ownership, and wants to grow within a technology-driven organisation.

Responsibilities and Duties:
The Project Administrator provides essential coordination and administrative support across multiple concurrent projects and client engagements. Working closely with the Project Management team, this role ensures the operational backbone of the department runs efficiently and effectively.
Their responsibilities will include:
Project Management Support
- Assist the Project Managers with the day-to-day management of multiple products and client engagements running simultaneously.
- Track project progress, capture key actions and decisions, and follow up to ensure timely completion.
- Maintain a clear and current view of workload across all active projects to support prioritisation.
Request Intake & Coordination
- Act as first point of contact for incoming requests across the department, ensuring nothing is missed or misdirected.
- Support the organisation and triage of Jira, including capturing and logging requests from the Sales team and routing them to the appropriate owners.
- Ensure all requests are recorded with sufficient detail, correctly categorised, and tracked through to resolution.
Schedule & Calendar Management
- Manage calendars for Department Leads and Engineering Leads, scheduling meetings efficiently and minimising conflicts.
- Proactively monitor upcoming schedules and flag changes, additions, or clashes to relevant stakeholders in a timely manner.
- Coordinate scheduling logistics for cross-functional meetings, reviews, and external client touchpoints.
Documentation & Tool Management
- Maintain the structure and organisation of the team's Confluence space, ensuring documentation is accurate, consistently formatted, and easy to navigate.
- Keep Monday.com updated as the primary project management tool, including task status, timelines, ownership, and priorities ensuring it reflects an accurate picture of project activity at all times.
- Support the creation and upkeep of internal process documentation to agreed standards.
Meeting Administration & ISO Compliance Records
- Attend departmental meetings and produce accurate, structured minutes and action logs.
- Manage the volume and consistency of meeting records required to support ISO compliance obligations (ISO 27001 & ISO 9001), currently generating in excess of 50 individual records per two-month period across Engineering alone.
- Ensure all documented outputs meet the standards required for internal audit and external review.
ISO Review Support
- Provide administrative support across the full cycle of ISO review activities daily, weekly, monthly, quarterly, and annually.
- Prepare meeting packs, collate evidence, distribute agendas, and ensure outputs are captured and stored correctly following each review.
- Help to maintain an audit-ready record of compliance activities at all times.
Recruitment & Interview Process Administration
- Coordinate the end-to-end administrative workflow for open roles across the organisation.
- Manage candidate pipelines, schedule interviews, and liaise with hiring managers and candidates throughout the process.
- Administer psychometric and technical testing activities, including distribution, tracking of completions, and collation of results for the hiring panel.
- Maintain clear and professional records of each candidate's progress through the process.
Skills and Experience:
- Strong organisational skills with the ability to manage multiple workstreams simultaneously without losing detail.
- Experience working with project management or collaboration tools, including Jira, Confluence, and/or Monday.com, is highly desirable.
- Confident managing calendars and schedules for senior stakeholders
- High attention to detail, particularly when producing compliance or audit-facing documentation.
- A proactive communicator who flags issues early and follows up without prompting.
- Able to handle sensitive information, including candidate data and commercial matters with discretion and professionalism.
- Comfortable operating in a fast-moving environment where priorities can shift
- Familiarity with ISO 9001 and/or ISO 27001 frameworks is desirable but not essential.
Essential Qualifications:
- GCSEs or equivalent (including Maths and English).
- Demonstrable experience in an administrative, coordination, or project support role.
Desirable:
- Experience supporting a technology, software, or engineering team.
- Exposure to ISO compliance activities or audit preparation.
- Familiarity with digital forensics, cybersecurity, or defence sectors.
- Project management qualification or certification (e.g. PRINCE2 Foundation, APM, or equivalent).
Additional Requirements:
- Must be able to commute to the Horsham office on a hybrid basis.
- Must adhere to Detego's ISO 27001 information security policies.
- Background checks will be required due to the nature of the organisation's work.
- Professional conduct when handling sensitive commercial, candidate, or client information at all times.
Training & Development:
- Structured onboarding with close support from the Project Management team.
- Hands-on exposure to project delivery across multiple concurrent products and client engagements.
- Training in ISO 27001 and ISO 9001 operational controls and compliance processes.
