Purpose of this role
To ensure that goods and all supplies companywide are purchased at the required quality and cost. This role also includes the responsibility to ensure stock levels are monitored, rotated and maintained. You will be heavily involved in the maintenance of our Online Shop to ensure that our prices and products are up to date and on target with our customer demands. You will be maintaining and supporting the smooth running of the company’s fleet, ensuring that the vehicles are serviced and compliant. You will occupy a supporting role to the Central Services Manager in the running of the central services office.
Core responsibilities:
Purchasing
- To source and negotiate with suppliers who meet the company requirements to secure the most favourable terms of business for the company.
- Keep under review all contracts for the supply of goods and services to ensure they are being delivered effectively and renegotiate terms where necessary.
- Maintain awareness in the hospitality field of new relevant products and services.
- Maintain an up-to-date list of suppliers and pricing arrangements to ensure the company has the best commercial terms.
- Maintain an awareness of quantities of stocks of materials and equipment to ensure that shortages are avoided.
- Report any significant problems to the CST Manager to ensure that the SLT are kept aware of any potential supply issues which may affect the business.
- Maintain stock levels, ensuring timely replenishment with cost effective delivery to various locations
- Raising of relevant purchase orders and placing orders in line with company systems
Warehouse/Stores
- Ensure that the warehouse is always tidy and clean
- Responsible for accurate stock-takes and maintenance of the stock system including stock tracking
- Ensure that all H&S is adhered to including COSHH Sheets
- Oversee Stock/Warehouse & CST Assistant role
- Schedule collections and deliveries for online and technicians' orders in a timely manner
- Process all online orders as soon as possible
Fleet
- Monitor fuel pricing on a weekly basis and communicate with the supplier to ensure we receive the best deal for petrol/diesel cards.
- Maintain the company tracker system, reporting on findings and highlighting trends/changes
- Oversee driver authorisation/licencing procedures including vehicle spot-checks to ensure that all fleet vehicles and drivers are legal.
- Schedule vehicles servicing, tyres etc., liaising with both driver and supplier to minimise downtime and ensure that drivers are always informed.
- Monitor daily & weekly vehicle checks and liaise with Field Services and suppliers if any defects are found
Online Shop
- Support the Brand & Marketing Manager to ensure that all information is accurate
- Liaise with the Finance team on stock levels
- Manage and monitor shipping costs to ensure that these are reflected on the online shop prices
- Maintain and upload new/amended products onto the online shop
Central Services Team
- Work as part of the CST
- Support other members of the CST wherever necessary and as required
- Work alongside CST Manager/Managing Director on special projects as and when required

Skills/Experience
- At least 3 years of office experience
- Excellent organisational skills
- Full clean UK driving licence
- E commerce (desirable)
- QuickBooks experience or similar platform
- Excellent grasp of technologies, including Microsoft Office 365
- A good head for figures – evidence of numeracy skills
- Excellent spoken, written communications skills
