Bond Oxborough Phillips is looking for an exceptionally organised and proactive Office Administrator to join our busy Wadebridge office.
This is a fantastic opportunity for someone who enjoys structure, takes pride in accuracy and loves keeping everything running smoothly behind the scenes. You'll play a vital role supporting our sales team, ensuring every property progresses efficiently from instruction through to sale while maintaining the highest standards of compliance and customer service.
As the role develops, there will also be opportunities to support our wider network of offices, making this an excellent position for someone looking to grow within a successful independent estate agency.
The Role
Your responsibilities will include:
- Managing Anti-Money Laundering (AML) checks for vendors and applicants.
- Preparing and auditing property instruction files before marketing.
- Ensuring all CRM information is accurate and complete before properties go live.
- Ordering and monitoring EPCs where required.
- Managing our For Sale board system, including ordering, tracking and removals.
- Preparing and sending new instruction and sales correspondence.
- Producing professional property brochures using Adobe software.
- Managing office window displays and ensuring property cards remain current.
- Maintaining digital and paper filing systems, including archiving completed files.
- Updating property files and ensuring compliance documentation is complete.
- Answering telephone enquiries professionally and directing calls appropriately.
- Providing administrative support to the sales team.
- Assisting with general office administration and maintaining a well-organised office environment.
- Supporting holiday and sickness cover, including occasional Saturday working.
We're Looking For Someone Who Is:
- Highly organised with exceptional attention to detail.
- Able to prioritise multiple tasks in a fast-paced environment.
- Friendly, professional and confident communicating with clients and colleagues.
- Comfortable learning new software and systems.
- Experienced using Microsoft Office, particularly Outlook, Word and Excel.
- Confident using Adobe Acrobat or willing to learn brochure production.
- Able to work independently and take ownership of tasks.
- Positive, reliable and happy to support the wider team whenever needed.
Desirable Experience
- Previous estate agency administration experience.
- Knowledge of AML regulations and compliance.
- Experience using estate agency CRM software (training will be provided where required).
- Customer service or office administration experience.
