The Role
The Project Support Officer supports the PMO Manager, Programme Managers and Project Managers in the effective delivery, control and governance of IT projects and programmes across EMEA IT Services. The role helps ensure adherence to Norton Rose Fulbright delivery frameworks, maintains accurate portfolio information, supports project and governance reporting, and enables audit-ready project administration across the full project lifecycle.
EMEA IT Services provides IT services to lawyers and business services teams across Europe, the Middle East and Asia and now Australia. The Project Office supports the delivery of change through project governance, reporting, financial administration, stage gate control, technical design governance and continuous improvement of PMO processes. The Project Support Officer plays a key coordination and quality assurance role within this environment.
Key Responsibilities
Delivery framework and governance support

Support adherence to NRF project delivery frameworks, templates and governance standards.

Maintain awareness of required project artefacts, including Project Briefs/PIDs, RAID logs, Gateway Checklists, Project Change Requests, closure documents and governance packs.

Support the preparation, coordination and administration of Gate and Technical Design Authority (TDA) review activities.

Ensure governance records, approvals, links, document versions and supporting evidence are complete, accurate and accessible.
Portfolio reporting and data quality

Maintain accurate and complete portfolio data, including project status, stage, milestones, Gate dates, TDA dates, project codes, SAP codes, Project Manager details and sponsor information.

Use agreed master sources, including the Gates and TDA Schedule, as the single source of truth for milestone and governance date information.

Update agreed artefacts promptly following confirmed changes, ensuring consistency across the Project List, Gates and TDA Schedule, Go Live Plan, SharePoint dates and reporting outputs.

Support the production of regular and ad hoc PMO reports, including weekly IT leadership reporting and Change Programme Board highlight reports.
Gate, TDA and meeting administration

Coordinate Gate and TDA meetings, ensuring the correct attendees and approvers are invited,

Meeting materials are accurate and circulated in good time,

Approvals are tracked correctly, and follow-up actions are recorded and progressed to completion

Reporting, financial and administrative support

Support the preparation of regular and one-off reports, presentations, slide packs and Excel-based reporting for senior management.

Liaise with Project Managers, Programme Managers and delivery teams to gather accurate and timely reporting information.

Support budget tracking, project finance administration, resource data tracking and reconciliation activities where required.

Check numbers, codes, dates and supporting data against source information before submission or circulation.
Continuous improvement and audit readiness

Support continual improvement of PMO processes, templates, reporting routines and governance controls.

Identify recurring issues and propose practical improvements to maintain or improve quality, consistency and efficiency.

Support audit preparation, including ISO 27001 readiness, by ensuring project evidence and governance artefacts are complete, current and accessible.

Maintain accurate records and evidence trails to support transparency, governance and management oversight.

Expected standards of performance
Key Skills and Experience
-
Experience of supporting projects, programmes or a PMO environment, ideally within IT, legal, financial services, engineering or another professional services environment.

Strong organisational skills with the ability to manage competing deadlines and prioritise effectively.

High attention to detail and the ability to produce accurate, consistent and well-presented outputs.
-
Strong written and verbal communication skills, with the confidence to work with project teams and senior stakeholders.

Good working knowledge of Microsoft 365, including Word, Excel, PowerPoint, Outlook, Teams and SharePoint. Experience of AI tools, especially Microsoft Copilot, would be a distinct advantage.

Qualified in project delivery frameworks such as PRINCE2, MSP or equivalent project and programme delivery methods is desirable.

Numeracy and confidence working with project financial, resource and reporting data.

Practical, collaborative and service-focused approach, with a willingness to improve processes and support colleagues.
