Experienced Practice Coordinator – friendly practice in lovely Twickenham
Part or full-time considered 30-40 hours weekly
King Street Vets is looking for an organised, proactive and commercially aware Practice Coordinator, to oversee the day-to-day operational management of our independent veterinary practice.
Working closely with Karmen, the practice owner, you'll play a pivotal role in ensuring the clinic operates efficiently, our systems and processes run smoothly, and our team has the support they need to deliver an exceptional client experience.
This is a varied management role with responsibility across operations, people, administration, compliance and business support. You'll lead our Front of House team, while coordinating many of the day-to-day activities that keep the practice running effectively.
The Role
As Practice Coordinator, you'll take ownership of the operational management of the practice, helping to ensure that every aspect of the business runs efficiently and consistently.
Your responsibilities will include:
- Leading, supporting and developing our Front of House team.
- Managing rotas, annual leave and day-to-day staffing requirements.
- Coordinating our diaries to maximise efficiency and client service.
- Overseeing key administrative and financial processes, including insurance claims, client accounts and cash management.
- Monitoring operational performance, identifying opportunities for improvement and implementing new processes where appropriate.
- Coordinating Health & Safety, compliance and facilities management across the practice.
- Managing relationships with suppliers, contractors and external support providers.
- Supporting marketing initiatives, business development projects and operational planning.
- Acting as a super-user for our practice management systems, maintaining accurate system configuration and supporting continuous improvement.
- Joining our Leadership Team to ensure the practice continues to operate to the highest standards.
About You
We're looking for someone with proven organisational and operational management experience, who has successfully led teams, enjoys creating structure, improving processes, and supporting people to perform at their best.
You'll be:
- Highly organised with excellent attention to detail.
- A confident leader who enjoys developing and supporting others.
- Comfortable managing multiple priorities in a busy environment.
- An effective communicator with strong problem-solving skills.
- Commercially aware, with the ability to identify opportunities to improve efficiency and service delivery.
- Confident using business systems and technology.
- Calm, professional and able to work independently while building strong relationships across the wider team.
Experience gained within veterinary practice is preferable, although we would also consider applications from candidates with relevant operational management experience gained in other healthcare environments.
