Overview
We are seeking a highly organised and proactive Office Administrator to support the smooth running of our care home operations. This role is central to ensuring accurate financial processes, effective communication with external partners, and timely administrative support for residents, families, and staff.
Duties
- Letting Agents & Property Oversight: Managing flats in Scarborough and Bridlington, with monthly inspections, maintenance updates, tenancy documentation, and maintaining accurate property records.
- Payroll Administration: Processing payroll information, verifying timesheets, overtime, absences, and liaising with payroll providers to resolve discrepancies.
- Client Remittances & Financial Administration: Preparing remittances, maintaining resident financial records, and handling queries from families, local authorities, and funding bodies.
- Bank Reconciliation: completing regular reconciliations, investigating discrepancies, and supporting month‑end financial reporting.
- Purchasing & Procurement: Raising purchase orders, tracking deliveries, ensuring goods match orders, and maintaining supplier relationships.
- General Administration: managing calls, emails, correspondence, resident files, staff records, compliance documents, scheduling, and day‑to‑day office support.
Skills
- Proven office experience with strong organisational abilities
- Excellent computer skills, particularly with Microsoft Office (Word, Excel) and Google Workspace tools
- Prior administrative experience with data entry and clerical duties
- Good phone etiquette with the ability to communicate clearly and professionally
- Strong organisational skills with the ability to prioritise tasks effectively
- Fast and accurate typing skills to support efficient data management
- Ability to work independently as well as part of a team in a fast-paced environment
