123HGV is looking for a proactive, organised, and confident Admin & Sales Coordinator to join our team. This is a varied role combining telephone and email sales, customer service, administration, and training coordination.
You will be responsible for speaking with customers who are interested in our HGV training courses, understanding their requirements, recommending the most suitable training options, and helping them through the booking process. You will also coordinate the administration behind each customer’s journey, including booking medicals, theory tests, and practical training courses.
The successful candidate will be confident communicating with customers by phone and email, highly organised, comfortable working to targets, and able to manage multiple bookings and enquiries while providing an excellent customer experience.
Key ResponsibilitiesSales & Customer Service
- Handle incoming and outgoing customer calls relating to HGV training courses.
- Respond to customer enquiries by phone, email, and other communication channels.
- Identify customers’ requirements and recommend suitable HGV training courses and packages.
- Explain course options, costs, booking processes, and next steps clearly and confidently.
- Follow up with prospective customers to convert enquiries into bookings.
- Build strong relationships with customers throughout their training journey.
- Provide professional and friendly customer service from the initial enquiry through to course completion.
- Maintain accurate records of customer conversations, enquiries, bookings, and sales using our in-house CRM systems.
Course Administration & Coordination
- Coordinate customer bookings from initial enquiry through to training.
- Book and arrange HGV medical appointments and theory tests.
- Coordinate practical training courses and liaise with customers and training teams to arrange suitable dates.
- Keep customers informed of appointments, training dates, requirements, and any changes.
- Ensure all customer information and booking details are accurate and up to date.
- Monitor outstanding actions and follow up with customers where necessary.
- Assist with rescheduling and changes to bookings when required.
- Work closely with trainers and internal teams to ensure courses run smoothly.
CRM & Administration
- Use our in-house CRM and administrative systems to manage customer information, sales activity, bookings, and course progress.
- Maintain accurate and up-to-date customer records.
- Process sales and bookings efficiently and accurately.
- Complete general administrative tasks associated with customer bookings and training courses.
- Ensure all relevant documentation and customer information is recorded correctly.
- Help maintain an organised and efficient sales and administration process.
Teamwork & Performance
- Work closely with the sales, administration, and training teams to provide a seamless customer experience.
- Meet agreed sales and activity targets while maintaining high standards of customer service.
- Take ownership of customer enquiries and follow them through to completion.
- Identify opportunities to improve customer service, administration, and sales processes.
- Contribute positively to a fast-paced, target-driven team environment.
Experience & Skills
The ideal candidate will have:
- Previous experience in sales, administration, customer service, or a similar role.
- Excellent telephone and email communication skills.
- Confidence speaking to customers and selling products or services over the phone.
- Strong organisational and administration skills.
- The ability to manage multiple customers, bookings, and tasks at the same time.
- Good attention to detail and accuracy when entering customer and booking information.
- Experience using CRM systems or other customer management software.
- Good computer skills and the ability to learn new systems quickly.
- A professional, friendly, and positive approach.
- The ability to work independently while also being an effective team player.
- A target-driven and proactive attitude.
- The ability to remain calm and organised in a busy environment.
Desirable Experience
Experience within the HGV, transport, training, driving school, recruitment, or education sectors would be advantageous, although full industry training can be provided for the right candidate.

You will be part of a busy team where no two days are the same, with the opportunity to develop your sales, customer service, and administration skills within the HGV training industry.
Working hours will be Monday to Friday 9am untill 4pm
Pay: £26,000.00-£28,000.00 per year
