The Role
Every patient who chooses Natural Smiles begins their journey with one person. Someone who listens before they book. Someone who turns a nervous enquiry into a confident decision. That person could be you.
We are a multi-award-winning, premium implant and cosmetic dental practice with a reputation built on 4.9–5.0★ reviews and outcomes that change how people feel about themselves. We are looking for a motivated, professional and genuinely warm Treatment Coordinator to be the trusted guide who walks each patient from first enquiry through to a treatment they feel proud to say yes to.
This is not a back-office role. It is one of the most important relationships in the practice — the bridge between a patient’s hopes and our clinicians’ craft. If you take pride in making people feel understood, cared for and never rushed, you will thrive here.
This is a full time role 38.5hrs, Monday 9.00am-6.00pm, Tuesday 9.00am - 5.30pm, Wednesday 9.00-6.30pm., Thursday 9.00am-5.30pm, Friday 9.00-5.00pm.
Who You Are
You are a people person first. You build rapport in minutes, you communicate with warmth and clarity, and you stay calm and organised when the day is busy. You care about the details because you know the details are what make care feel premium. And you want to be part of something that is growing, ambitious and proud of its standards.
Key Responsibilities
Your day is built around the patient. You will:
1. Coordinate and liaise with all inbound and outbound new patient enquiries — the first point of contact for every prospective patient, across telephone, email, website and social media — ensuring no enquiry is ever missed and every patient feels personally looked after from the very first hello.
2. Build genuine rapport with prospective patients and give them clear, confident information about our treatments and services.
3. Coordinate patient consultations and treatment appointments, keeping the diary running smoothly.
4. Discuss treatment plans, costs and finance options with patients where appropriate, always framing the conversation around outcomes and value.
5. Follow up with patients after their consultation to answer questions and support their decision to go ahead.
6. Maintain accurate patient records and ensure all correspondence is documented appropriately.
7. Work closely with our clinicians and the wider team to deliver a seamless, joined-up patient experience.
8. Monitor enquiry conversion rates and contribute to our practice growth initiatives.
9. Provide exceptional customer service and a welcoming experience for every patient, every time.
10. Assist with administrative duties and practice marketing activities as required.
11. Cover reception duties when required, including:
- Greeting patients and visitors.
- Managing appointment bookings and diary coordination.
- Handling incoming telephone calls.
- Processing payments and maintaining patient records.
- Supporting the smooth day-to-day running of the reception area.
