About the role:
We are looking for a proactive and detail-oriented Licensing Coordinator to ensure our Petrol Filling Station (PFS) and Food-to-Go (FTG) operations remain fully compliant across the UK. You'll manage licences, renewals, and compliance documentation, monitor key deadlines, and work closely with local authorities, suppliers, contractors, and internal teams to ensure all regulatory requirements are met. As a central point of coordination, you'll play a vital role in minimising risk and supporting smooth, uninterrupted business operations.
What you’ll do:

Manage Petroleum Storage Licence applications and renewals across all PFS sites.
- Coordinate Environmental Permit applications, renewals, and annual payments.
- Liaise with local authorities on licensing, compliance, site openings, and operational approvals.
- Coordinate statutory inspections and certifications, including electrical, fire safety, vapour recovery, gas safety, PAT testing, and NTI/KDRB requirements.
- Manage Premises, Alcohol, Music, Food Business, and Late Hours licences.
- Oversee hazardous waste compliance and Environmental Health Officer (EHO) requirements.
- Monitor licence, permit, certification, and inspection expiry dates, ensuring timely renewals.
- Maintain accurate compliance records and update internal compliance systems.
- Track compliance actions, escalating and resolving issues where required.
- Work with internal teams, contractors, and regulatory bodies to ensure compliance obligations are met.
- Coordinate licensing fees, supplier invoices, statutory payments, and audit records.
- Support compliance projects and provide additional assistance to the Licensing Manager as required.

What we are looking for:
- Previous experience managing licences, permits, renewals, or compliance activities within a regulated environment.
- Strong organisational skills with the ability to manage multiple deadlines and priorities simultaneously.
- Excellent attention to detail and experience maintaining accurate records and compliance documentation.
- Proven ability to liaise effectively with internal teams, regulatory bodies, local authorities, suppliers, and contractors.
- Proficient in Microsoft Office, particularly Excel, and experienced in managing databases and compliance systems.
