Home Coffee – Café Manager Job Description
Role Overview
Home Coffee is looking for an enthusiastic, organised, and proactive Café Manager to lead the day-to-day operation of the venue. The successful candidate will be responsible for delivering exceptional customer service, managing staff, maintaining high operational standards, controlling stock and finances, and ensuring the café continues to provide a warm, welcoming, and friendly environment for every customer.
Key Responsibilities
Ordering & Supplier Management
- Order stock on a weekly basis, ensuring appropriate stock levels are maintained at all times.
- Build and maintain strong relationships with existing and new suppliers.
- Monitor sales trends and ensure popular products remain well stocked while maintaining a varied product offering.
- Receive deliveries or arrange suitable staff cover to accept deliveries when they occur outside normal opening hours.
Stock Control
- Complete a monthly stocktake and submit stock reports, including stock value and cost of goods, to the Site Manager.
- Produce a quarterly inventory of all equipment, crockery, glassware, and other café assets.
- Ensure products are attractively displayed and replenished throughout each trading day.
- Keep all storage areas clean, organised, and compliant with health and safety standards.
- Maintain accurate retail and cost prices within the till/POS system.
Venue Maintenance & Standards
- Maintain the café to an exceptional standard of cleanliness and presentation.
- Ensure kitchen and food preparation areas comply with Environmental Health regulations and food hygiene standards.
- Develop and maintain opening and closing checklists for staff.
- Report maintenance issues promptly to the Site Manager or resolve minor issues where appropriate.
- Ensure waste and recycling collections are managed and bins are presented on the correct collection days.
Staff Management
- Produce monthly staff rotas at least four weeks in advance.
- Maintain accurate staff timesheets and records of hours worked.
- Lead the recruitment process, including reviewing applications, interviewing candidates, and organising trial shifts.
- Ensure all shifts are adequately covered, including personally covering shifts where necessary.
- Train and develop new and existing team members through on-the-job coaching and dedicated training sessions.
- Resolve staff concerns and operational issues, escalating to the Site Manager where appropriate.
- Monitor employee performance and provide regular coaching and constructive feedback.
- Hold regular team meetings and maintain accurate meeting minutes.
Finance & Marketing
- Manage the café’s social media channels, producing engaging content that reflects Home Coffee’s brand, vision, and values.
- Respond professionally to customer enquiries and feedback.
- Ensure daily cashing up is completed accurately, with any discrepancies reported immediately to the Site Manager.
- Maintain an appropriate level of change on site and arrange additional change when required.
- Monitor sales performance, product profitability, and peak trading periods to support business decisions.
- Ensure menus remain up to date, accurately costed, and priced in line with company margins.
General Responsibilities
- Lead by example by delivering outstanding customer service at all times.
- Create a positive, welcoming atmosphere for customers and staff.
- Ensure compliance with all company policies, health and safety requirements, food hygiene regulations, and licensing conditions where applicable.
- Take ownership of the day-to-day operation of the café, demonstrating initiative and a commitment to continuous improvement.
- Carry out any other reasonable duties required to support the successful operation of Home Coffee.
Person Specification
The ideal candidate will demonstrate:
- Previous management or supervisory experience within hospitality or cafés.
- Strong leadership and team development skills.
- Excellent organisational and time management abilities.
- Confidence in stock control, ordering, and financial procedures.
- Strong communication and customer service skills.
- A proactive approach to problem solving.
- Flexibility to work weekends, evenings, and bank holidays when required.
- A genuine passion for coffee, hospitality, and creating an exceptional customer experience.
