Full job description

We are an established operator of Home To School transport, currently due to expanding operations there is a vacancy for a full-time Transport Administrator who's duties would include, filing, data entry, compiling emails and letters, updating data base with staff and fleet data, also managing diary and dealing with staff and customers over the telephone, must be competent and confident communicator and willing to learn new things.

Potential candidate must be a team player. The successful candidate will have previous administration experience and be able demonstrate competence in the use of computers and the Microsoft Office application suite. Previous experience in a Transport environment would be advantageous but full training will be provided to the right candidate.

Invoices from suppliers should be sent to accounts – cash or on account – please scan all and send them Fridays – Weekly
MOT/Tax/School Test/Insurance should be checked – Weekly
Book school tests, MOT and vehicle inspection whenever necessary - Weekly
Answer calls, order parts - Daily
Check coaches’ websites for jobs –Daily
Call drivers and book them to come in twice a month for vehicle check and cleaning – report every end of the month – Monthly
Call drivers and find out if any defects on their vehicles – discuss with Baber Weekly
Very important – all vehicles should match have the matching fuel card and be updated on the fuel card log- Daily
Every week on Friday – send a report with who has driven what and we will keep track from now on in case we want to go back and check who the driver was – please create a separate folder in Vehicles and also a template sheet -Weekly
Vehicle repairs-you will fill out a Defect sheet and attached invoice for any parts used, and record what work was completed on the vehicle. You will then add all the information to the vehicle Maintenance log and fill the paperwork in the vehicles file. Daily
Vehicle folder – please try to tidy and organise it – if you need any help, please let me know or if you want to discuss how to do it, I am happy to work together on a structure -Daily

Position is permanent and Mon- Fri (7am -4pm)

The job is based in Charvil RG10 -where our Minicoaches department is based - driving license is a must
