About Spring Forward
We are a landscaping and garden maintenance business based in Worcester, covering the city and surrounding 30-mile radius. We do two things: one-off landscaping projects -patios, driveways, planting schemes, groundworks - and ongoing garden maintenance for clients who value quality and want it done right every time.
We are a team of seven. We are not the cheapest landscaper in Worcester and we don't try to be. Our clients are mostly senior professionals and business owners who understand value and trust us to deliver without being managed through every decision.
2026 is a year of building solid foundations before we scale. This role is central to that.
The Role
We need a Business Administrator who can own the operational backbone of the office -independently, proactively, and to a high standard. This is not a role where someone sets your to-do list. You will look at what needs doing, do it, and flag anything that genuinely needs a decision above your level.
Starting at 20-25 hours per week, the role has clear scope to grow to full-time as the business grows. We will review formally at six months.
Day to day, you will own:
- All inbound enquiries - read each one properly, respond with the right information and tone, log every one in our pipeline tracker.
- Scheduling - coordinate the maintenance team diary and Adam's client appointments in Sortscape, making sensible geographic decisions and keeping days at capacity.
- Invoicing - raise all garden maintenance invoices in Xero, get them approved, and send them to clients.
- Lead follow-up - chase outstanding quotes using our three-stage follow-up process.
As you settle in, you will also take on:
- Credit control - proactively chasing overdue accounts.
- Xero bank transaction processing - currently handled by our Marketing Manager.
- HR administration - timesheets, holiday records, staff certification tracking.
- Compliance and insurance records - MOTs, renewals, waste carrier licence.
The most important thing we are hiring for is not a skill - it is a way of working. We need someone who generates their own workload rather than waiting to be told what to do. If you need a full task list provided to you each morning, this is not the right role.
- You are a confident communicator - warm and professional on email, clear and calm on the phone.
- You are comfortable with accounting software - ideally Xero, but QuickBooks or similar is fine.
- You have worked in a trade, construction, or field-based services business before. (Helpful but not essential - tell us in your application if you have.)
- You are happy working independently from home most of the time.
- You have strong attention to detail, especially with money and client communications.
What We Offer
- £13-£15 per hour depending on experience.
- 20-25 hours per week, Monday to Friday. Flexible on the exact pattern.
- Primarily home-based with occasional team days.
- A genuine path to full-time -reviewed formally at 6 months.
