Flexx Studio & Café — Poole
Flexx Studio is looking for an exceptional Café & Pilates Studio Manager to take ownership of the day-to-day running of our busy Pilates studio and café in Poole.
This is a hands-on management role for someone who is organised, switched-on, positive, independent and genuinely brilliant with people. You’ll oversee both the café and studio, lead our barista team, coordinate with Pilates instructors, keep operations running smoothly and help us continually improve the customer experience.

What you'll be responsible for Café Management
- Oversee the smooth day-to-day running of the Flexx Café.
- Lead, support and motivate the barista team.
- Work hands-on in the café — this is not purely an office-based management position.
- Prepare consistently excellent coffees, matcha and other drinks.
- Maintain excellent coffee standards, including milk steaming and latte art.
- Ensure food and drinks are prepared and presented consistently.
- Create and manage staff rotas, ensuring appropriate staffing levels.
- Manage staff holidays, sickness and shift cover.
- Carry out regular stock checks.
- Place supplier orders and ensure we have the correct stock without unnecessary over-ordering or waste.
- Monitor stock usage, wastage and product availability.
- Ensure deliveries are checked, stored and rotated correctly.
- Maintain excellent cleanliness and hygiene standards throughout the café.
- Ensure opening and closing procedures are completed properly.
- Keep displays, fridges, counters and customer areas looking clean, organised and attractive at all times.
- Help develop seasonal drinks, specials and new café ideas.
- Spot problems before they become problems and take initiative to resolve them.
Team Leadership & Staff Management
- Be a positive and professional leader for the team.
- Train new baristas and ensure they understand Flexx standards.
- Continually train and develop existing staff.
- Keep the team motivated and maintain a positive working environment.
- Delegate tasks clearly and follow up to make sure they have been completed.
- Give constructive feedback when standards aren't being met.
- Communicate expectations clearly.
- Help maintain punctuality, professionalism and accountability across the team.
- Identify where additional training or support is needed.
- Help with recruitment, interviews and onboarding when required.
- Lead by example — we expect the manager to demonstrate the standards they expect from everyone else.
Pilates Studio Management
You do not need to be a Pilates instructor, but you need to be interested in the fitness/wellness industry and understand how to run an organised, premium customer-facing studio.
Responsibilities include:
- Oversee the smooth day-to-day operation of the Pilates studio.
- Coordinate with Reformer Pilates, Mat Pilates, Yoga, Hot Sculpt and other instructors.
- Help organise and maintain the weekly class timetable.
- Communicate timetable changes clearly with instructors and the wider team.
- Organise instructor cover when required.
- Monitor classes, bookings and attendance.
- Identify busy and quiet classes and help us make sensible timetable decisions.
- Ensure studios are clean, organised and ready before classes.
- Ensure equipment is maintained, stored correctly and reported immediately if something needs attention.
- Help maintain the premium Flexx experience throughout the entire customer journey.
- Communicate important information, promotions and operational changes to instructors.
- Help organise workshops, special classes, collaborations and community events.
Customer Experience
Customer service is a huge part of this role.
Many of our customers are regulars and our community is extremely important to us. We want people to walk through the door and immediately feel welcomed.
You will:
- Welcome clients warmly and professionally.
- Learn our regular customers and build genuine relationships with them.
- Answer questions about classes, memberships, the café and the studio.
- Handle customer concerns calmly and professionally.
- Help clients with bookings and general enquiries.
- Respond to emails and messages promptly.
- Take ownership of problems rather than automatically passing them to someone else.
- Use common sense and good judgement when making decisions.
- Notice when something isn't right and fix it without needing to be asked.
We want someone who is friendly, charismatic and confident, while also understanding that this is a working environment. You should be able to chat with customers and make them feel at home without becoming distracted or allowing conversations to prevent work from getting done.
Organisation & Administration
You will help keep everything behind the scenes organised, including:
- Staff rotas
- Instructor schedules
- Stock ordering
- Stock checks
- Supplier communication
- Team communication
- Emails and enquiries
- Staff holiday and cover organisation
- Events and collaborations
- General studio administration
- Operational checklists
- Customer issues and follow-ups
- Maintaining organised systems and records
We are specifically looking for someone who doesn't just solve problems — you prevent them.
If stock is getting low, you notice before we run out. If a shift needs covering, you deal with it early. If something isn't working operationally, you suggest a better system.
Social Media, Content & Events
You don't need to be a professional content creator, but you should be comfortable with social media and understand the importance of content for a modern wellness business.
You'll help with:
- Capturing natural photos and videos around the café and studio.
- Creating simple Instagram Stories and day-to-day content.
- Making sure the studio and café are always presentable and content-ready.
- Helping promote classes, events, new products and offers.
- Supporting content days and campaigns.
- Coming up with creative ideas for the café and studio.
- Helping organise community events, workshops, collaborations and special classes.
- Creating an exciting atmosphere around launches and events.
