The role…
Are you ready to be the welcoming face of LW Theatres Group? As our Receptionist, you will play a pivotal role in creating a warm and inviting atmosphere for all staff and visitors at our Office. You'll be the initial point of contact, providing exceptional service that sets the tone for a fantastic experience.
In this dynamic position, your responsibilities will include managing our busy switchboard, handling incoming calls with professionalism and ensuring smooth communication. You’ll also oversee the reception area, making it a friendly and efficient environment, while managing logistics such as deliveries, outgoing mail, and meeting room bookings.
Your organisational skills will shine as you keep our kitchen stocked with refreshments and help coordinate taxi and courier services. Additionally, you will play a key role in ensuring everyone’s safety by familiarising yourself with our fire evacuation procedures and maintaining visitor records.

What you’ll be doing…
Reception Duties:
· Provide a welcoming service for all staff and visitors to the Office
· Maintain a tidy, clean and efficient reception area
· Manage incoming enquiries to the reception telephone and email inbox, extending a high level of service in both verbal and written communication
· Oversee deliveries, outgoing mail and manage taxi/courier services
· Handle meeting room bookings and ensure proper set-up
· Keep kitchens and bathrooms clean and replenished and stationery cupboards stocked with supplies
· Fulfil the role of Fire Marshal, completing training and being knowledgeable about fire evacuation procedures and maintaining visitor records
· Fulfil the role of First Aider, completing training and being knowledgeable about accident reporting procedures
· Coordinate and control staff and visitor access to the Office using NET2 software and ensuring the office is made secure at the end of each day
· Conduct Health & Safety inductions for new starters
· Monitor CCTV for the Office when required, with additional monitoring of the outer/street cameras of Theatre Royal Drury Lane only when necessary
· If there is no Post Runner, frank and deliver any mail by-hand
· Perform additional duties as needed
Administrative Duties:
· Provide regular support to the Operations Coordinator and the wider Operations team
· Provide support on Company projects and events as required
· Fulfil the role as 2nd Administrator for the Company Critical Incident Management Plan
· Track office expenditures within a set monthly budget
· Order and manage office supplies, kitchen and bathroom replenishments and any additional stock as requested
· Control the inventory and secure storage of alcoholic beverages
· Physical setup of meetings/events in the Paint Frame auxiliary space when it is booked or planned by Office teams
· Ensuring that the Paint Frame auxiliary space and kitchen is kept clean and organised when not in use and checking that supplies and resources are maintained (e.g. television screen, chairs, tables etc)
· Induct external hirers into the Paint Frame auxiliary space, including Health & Safety and bathroom and kitchen facilities
· Support with catering provisions for meetings or training sessions when requested
· Assist with document photocopying and binding
· Process Purchase Orders
· Train any reception cover staff and ensure absences are covered
· Order and control stock of Operational and/or Theatre supplies such as cloakroom tickets, lanyards and ID cards
· Manage the distribution of ID cards for LWT staff and any temporary workers (e.g. auditors, work experience etc)
· Oversee the Iron Mountain document archive storage including keeping the tracker up to date and organising the creation, destruction and transfer of boxes/documents
· Liaise with Pest Control and Cleaning contractors to ensure that office areas are clean and presentable
What we need…
· Previous reception experience
· A good working knowledge of Theatre is desirable but not essential
· Ability to multitask and prioritise tasks effectively
· Attention to detail
· A strong sense of responsibility and organisation
· Collaborative mindset
· Familiar with computer applications and communication software
Salary: £33,000 per annum
