The Business Operations Associate provides operational support across portfolio governance, financial operations, project planning, reporting, and stakeholder communications within Portfolio Delivery Operations. The role contributes to effective portfolio oversight by supporting quarterly reporting, finance-related processes, communication coordination, and cross-functional engagement activities.The successful candidate will work independently to manage day-to-day operational activities, ensure accurate and timely reporting, support process improvements, and provide leadership with clear updates on progress, risks, and operational performance. This position requires strong organizational, analytical, communication, and stakeholder management skills, together with the adaptability to respond effectively to changing priorities across multiple workstreams.
Responsabilities:
- Support the preparation, coordination, and delivery of the Quarterly Portfolio Report.
- Collect, validate, and consolidate portfolio performance data for leadership reporting.
- Assist with portfolio governance processes and performance tracking activities.
- Support continuous improvement of reporting processes, metrics, and dashboards.
- Lead quarter-end close activities and accrual management processes.
- Partner with Finance and business stakeholders to ensure accurate financial reporting and timely submissions.
- Monitor financial activities and resolve discrepancies as required.
- Serve as the primary point of contact for Purchase Order (PO) management oversight, including management of effective process transitionTrack and maintain Travel & Expense reporting and related data.
- Develop training materials and support implementation of process improvements
- Lead cross-functional collaboration across global stakeholders and operational teams
- Lead communication and engagement activities, ensuring content is effectively maintained and remains current, accurate and accessible
- Ensure content remains current, accurate, and accessible.
- Lead monthly content updates for the PA DU Introduction Deck.
- Coordinate stakeholder input and publish updated materials on SharePoint.
- Lead the centralization of communications through the defined Forms process.
- Perform quality reviews of communications prior to distribution.
- Ensure adherence to approved communication templates and standards.
- Track communication metrics and KPIs and provide reporting to leadership.
- Create, coordinate, and publish the monthly PA DU Newsletter.
- Ensure data accuracy and consistency across updates.
- Work independently with minimal supervision while effectively managing multiple priorities.
- Demonstrate a proactive approach to identifying needs, risks, and opportunities for improvement.
- Escalate issues appropriately when decisions exceed delegated authority.
- Provide regular status updates, progress reporting, and performance insights to leadership.
- Build effective partnerships with internal stakeholders and cross-functional teams.
- Maintain high standards of quality, accuracy, compliance, and customer service.
Required Qualifications
- Bachelor's degree or equivalent professional experience.
- Minimum 5 years of work experience in the research and development environment (pharmaceutical, biotech, or CRO) is required
- 3 years financial analytics experience (preferred)
- From 3 to 5 years of clinical project management experience is mandatory
- Experience in business operations, project coordination, portfolio management, finance operations, or a related function in clinical enviroment.
- Strong analytical and problem-solving skills.
- Excellent written and verbal communication skills.
- Demonstrated ability to manage multiple priorities and meet deadlines.
- Advanced proficiency in Microsoft Office applications, particularly Excel, PowerPoint, SharePoint, and Teams.
- Strong attention to detail and commitment to data accuracy.
- Ability to work independently and collaboratively in a fast-paced environment.
- Experience supporting portfolio governance, reporting, or operational performance management.
- Familiarity with KPI reporting, dashboarding, and process improvement methodologies.
- Experience working within a global or matrixed organization.
