Full job description

Lovat's Group are looking for a Service Administrator to be based at our new offices at Straiton Business Park.

You will be responsible for managing and coordinating all scheduled maintenance activities using JobLogic, our in-house CAFM system. You will ensure that planned works are delivered on time and to standard, working closely with both our engineering team and third-party subcontractors.

Schedule and coordinate all PPM activities using JobLogic
Assign tasks to internal engineers based on skills, location, and availability
Manage and track subcontractor works, ensuring completion and compliance
Maintain accurate records of maintenance activities, asset histories, and service intervals
Liaise with clients and site contacts to arrange access and job scheduling
Ensure all maintenance is delivered within agreed timeframes and in line with SLAs
Monitor outstanding jobs and escalate delays to the Facilities Manager
Keep subcontractor documentation up to date (RAMS, insurance, accreditations)
Support in producing reports and performance data for contract reviews and audits

What We’re Looking For

Prior experience in a facilities, engineering, or service coordination environment
Familiarity with JobLogic or a similar CAFM system is essential
Excellent planning and organisational abilities
Confident communicator with strong coordination skills
Comfortable managing both internal and external schedules
Competent in Microsoft Office (especially Excel and Outlook)
Knowledge of statutory maintenance compliance (e.g., SFG20, HSE) is a bonus
