Full job description

Purpose of the Role

The Office Administrator is responsible for providing efficient administrative support across the business, ensuring the smooth day-to-day running of office operations. The role requires excellent organisational skills, attention to detail and the ability to prioritise a varied workload while supporting colleagues, customers and suppliers in a professional manner.

Key Responsibilities

General Administration/Office Support

Provide administrative support to all departments as required.
Answer incoming telephone calls and direct enquiries appropriately.
Monitor and manage shared email inboxes.
Prepare correspondence, reports, presentations and other business documents.
Maintain electronic and paper filing systems.
Arrange meetings, book meeting rooms and prepare refreshments where required.
Assist with travel and accommodation bookings.
Ensure the office environment remains organised and presentable.
Respond to customer enquiries promptly and professionally.
Maintain accurate customer records.
Support the sales and service teams with administrative tasks.

Sales & Service Administration

Process customer orders and quotations where required.
Prepare documentation relating to sales, service visits and installations.
Assist with scheduling engineers and coordinating service activities.
Update internal databases and business systems.

HR Administration

Maintain employee records.
Assist with onboarding new employees.
Support training record administration.
Help coordinate company events and staff communications.

Compliance & Quality

Ensure company records are maintained accurately.
Follow company policies and procedures.
Support document control within the Management Systems.

Person Specification

Essential Skills

Excellent organisational and time management skills.
Strong verbal and written communication.
High level of accuracy and attention to detail.
Good IT skills, including Microsoft Office (Word, Excel, Outlook and Teams).
Professional and friendly manner.

Desirable Skills

Experience using CRM systems.
Knowledge of Sage 200 or similar business software.
Understanding of ISO management systems or document control.

Qualifications & Experience

Previous experience in an administrative role.

Experience supporting finance, HR or operations functions.
