Job Purpose
The Senior Administration Assistant provides high-quality, professional administrative support to the Business Manager and plays a central role in the smooth running of Care Perspectives' governance, reporting and operational systems. The post holder maintains accurate organisational data, coordinates meetings and actions, and produces clear, timely data that gives senior leaders the management information they need to make decisions and manage risk effectively. By managing these administrative and coordination responsibilities efficiently, the role frees the Business Manager to focus on strategic priorities, while upholding Care Perspectives' commitment to safeguarding, confidentiality and good governance in every aspect of the work.
This is a varied, hands-on role with real scope to grow. As the post holder builds their knowledge of the organisation, there is room to take increasing ownership of specific reporting areas, get involved in wider projects, and develop.
Development & Progression
Care Perspectives wants this role to challenge and stretch the post holder, not just keep the wheels turning. You'll be supported to build skills across data and reporting, governance, and finance — with a structured induction, regular one-to-ones, and a personal development plan agreed with your manager.

Key Responsibilities
Governance, Data & Reporting
● Maintain and develop organisational systems and trackers so that data — including finance, workforce, ledgering and purchasing information — is accurate, up to date and readily available to senior management.
● Extract data and produce clear, accurate performance and management reports to support operational oversight, Board reporting and decision-making.
● Produce and distribute trigger reports to service managers, and track follow-up actions through to completion.
● Support the organisation's risk review process, maintaining risk logs/registers and escalating concerns appropriately.
● Monitor and report on progress against organisational plans, tracking actions arising from meetings, audits and reviews.
● Schedule and coordinate governance and operational meetings, prepare agendas, and take accurate minutes.
● Take growing ownership of specific reports, trackers or small improvement projects as your knowledge and confidence develop.
General Administration & Coordination
● Provide proactive, confidential and well-prioritised administrative support to the Business Manager and wider team as required.
● Use Microsoft 365 (Word, Excel, Outlook, Teams) and in-house systems to manage data, correspondence and documents.
● Develop and maintain templates, spreadsheets and filing systems (paper-based and digital), ensuring records are stored securely and in line with GDPR.
● Respond to telephone and email enquiries promptly and professionally, and liaise effectively with colleagues, services and external contacts.
● Coordinate IT/tech support requests, liaising with external providers as needed.
● Support company marketing activity, including website and social media content.
● Supervise, train and support junior administrative staff as required.
Finance & Procurement Support
● Support finance processes, including checking/recording invoices, and help design and maintain systems to keep these accurate and efficient.
● Support budget monitoring, cost analysis, and staffing/workforce analysis for the services.
● Support the procurement process, including sourcing and coordinating IT equipment.
Safeguarding, Health & Safety and Compliance
● Act in line with Care Perspectives' safeguarding policies at all times, reporting any concerns immediately in line with the organisation's procedures.
● Operate in line with company policies, Health and Safety requirements and data protection (GDPR) legislation, escalating and helping remedy issues as they arise.
● Maintain professional confidentiality in the handling of all organisational, staff and children's data.
General
● Participate in training, supervision and personal development.
● Carry out ad-hoc tasks as reasonably requested by the line manager, including occasional support within Care Perspectives' homes.
● Undertake any other duties commensurate with the role, as required.

Person Specification
Essential
● Level 3 (or equivalent) qualification in Business Administration, or equivalent relevant experience - Essential
At least 1–2 years' experience in an administrative role
● Experience producing reports, minutes or management information for managers or senior leaders
● Experience managing data, spreadsheets and filing systems
● Advanced IT skills, including confident use of Excel (formulas, data analysis), Word and Outlook
● Excellent written and verbal communication skills
● Strong organisational and time-management skills; able to manage multiple priorities and deadlines
● High level of accuracy and attention to detail
● Sound understanding of confidentiality and data protection (GDPR) requirements
● Understanding of safeguarding responsibilities within a care setting
Proactive, solution-focused and able to use initiative
● Professional, reliable and responsive, with a flexible approach to changing priorities
● Strong interpersonal skills; able to liaise effectively with people at all levels
● Able to work independently and as part of a team
● Keen to learn, take on new challenges and grow with the role
Full UK driving licence and access to a vehicle, for occasional travel between Head Office and services
● Satisfactory enhanced DBS check and other pre-employment checks
Desirable
● Willingness to work towards a further relevant qualification (e.g. CIPD, Institute of Administrative Management) - Desirable
● Experience within a care, education or other regulated/residential setting
● Experience of budgets, purchasing, invoicing or cost analysis
● Experience supervising or supporting junior administrative staff
● Experience using care/case-management or other in-house operational systems
● Understanding of risk registers or risk review processes
● Knowledge of procurement or purchase order processes
