Department: Purchasing
Reports To: Group Purchasing Manager
Location: Albert Bartlett, Airdrie, Scotland
Travel Requirement: Travel to Guidi's Restaurant, Airdrie

About the Business

Guidi's Restaurant is a well-established and highly regarded family restaurant in Airdrie and forms part of the Albert Bartlett Group. The restaurant is known for delivering exceptional food, service and hospitality to its customers.

This role will primarily be based at the Albert Bartlett site in Airdrie, providing purchasing and administrative support to the restaurant operation. The successful candidate will work closely with both the Albert Bartlett Purchasing Team and the management team at Guidi's Restaurant, with travel required between locations as business needs dictate.

Role Purpose

The Purchasing Administration Assistant provides efficient administrative and purchasing support for Guidi's Restaurant, ensuring the timely and accurate processing of purchase orders, supplier documentation, invoices and purchasing records. The role plays an important part in maintaining the smooth operation of the restaurant by supporting supplier relationships, monitoring purchasing activity and ensuring administrative processes are completed accurately and efficiently.

Key Responsibilities

Create, process and maintain purchase orders in accordance with company procedures.
Issue purchase orders to suppliers and monitor order confirmations.
Process and maintain purchasing documentation, including requisitions, purchase orders, delivery notes and invoices.
Liaise with restaurant management, suppliers and internal departments to resolve purchasing and delivery queries.
Ensure purchasing records and systems are accurate, up to date and audit-ready.
Support the management of supplier information and documentation.
Assist with stock, purchasing and cost-control administration where required.
Produce reports and maintain spreadsheets to support purchasing activities.
Provide general administrative support to both the Purchasing Team and Guidi's Restaurant management.
Build effective working relationships with suppliers and internal stakeholders.
Support continuous improvement initiatives and process enhancements.
Undertake any other reasonable duties commensurate with the role as requested by the Group Purchasing Manager or Senior Management Team.

Additional Requirement

The role is based at the Albert Bartlett site in Airdrie.
Flexibility to travel to Guidi's Restaurant in Airdrie as required.
A willingness to work collaboratively across both the Albert Bartlett Group and Guidi's Restaurant teams.

Pay: £27,534.00 per year
