Customer Service – Commercial and Export Co-Ordinator
Location: Cheltenham, Gloucestershire
The Role
We are looking for a highly organised and customer-focused Customer Service - Commercial and Export Co-Ordinator to join our UK Supply Customer Service team in Cheltenham.
This is a varied role that combines customer service, export administration and order management responsibilities. You will play a key part in ensuring customer orders are processed accurately and shipped globally in compliance with export regulations and company procedures. Working closely with internal departments, freight forwarders and international operating companies, you will help deliver an outstanding customer experience from order receipt through to shipment.
Key Responsibilities
Process customer orders and provide support throughout the order-to-shipment cycle.
Prepare and process export and shipping documentation, including commercial invoices, despatch notes and customs paperwork.
Ensure all export activities comply with current legislation, customs requirements and HMRC regulations.
Liaise with freight forwarders, operating companies and internal stakeholders to coordinate shipments.
Support the export of goods to international markets and manage specialist shipping requirements.
Respond to customer and internal queries relating to orders, shipments and compliance matters.
Monitor open orders, prioritise urgent requirements and proactively expedite deliveries where required.
Maintain accurate shipment records and compliance documentation.
Assist with Intrastat, VAT and export reporting activities.
Identify opportunities to improve processes, efficiencies and customer service outcomes.
Communicate supply, product and shipment updates effectively to relevant stakeholders.
Obtain freight quotations and support cost-effective export solutions where appropriate.
Your Skills
We're looking for someone who can work effectively in a fast-paced environment and deliver consistently high standards of customer service.
You will ideally have:
Experience in a customer service, export administration or logistics environment.
Knowledge of export procedures, documentation and international shipping processes.
Strong attention to detail and accuracy.
Excellent written and verbal communication skills.
The ability to manage multiple priorities and adapt to changing business demands.
A proactive, positive and collaborative approach.
Strong organisational and problem-solving skills.
Confidence working independently and as part of a team.
Good working knowledge of Microsoft Office, including Excel.
Understanding of Incoterms, trade terms and export compliance requirements would be advantageous.
GCSEs (or equivalent) in English and Maths.
